Transport and delivery: Customer portal for express freight operators

A customer portal for express freight operators where clients follow the milestones of their express trip and find the receipt confirmation with name and time themselves after delivery.

Customer portal for express freight operators. A customer portal with documents, status and a decision point. Example with demonstration data.

What customers of express freight operators want to see.

A client who books an express trip wants to know where their shipment is, so they keep ringing the planning desk. At an express freight operator running several trips at once, that means a phone that never stops while the planner is busy with the next enquiry. After delivery, the same client asks for proof for their own customer or their accounts team. That receipt confirmation then sits on the driver's phone or in a folder only the office can reach. And when a trip is delayed, the client often hears too late, because nobody had time to call.

Scope access per client

Each client gets access to their own trips, and within a larger company you can set per department or site who sees what. A buyer sees the trips they requested; the finance team sees all completed trips with proof. Other customers' trips and internal notes are never visible.

Show milestones without manual work

Milestones come from the driver's job card: collected, on the way, delayed with a reason, delivered. The client sees the time of each step and, where agreed, an expected arrival. When the driver reports a delay, the client gets a message right away, without the planner having to phone first.

Proof and questions per trip

After delivery, the receipt confirmation with name, time and photo sits with the trip, ready to download. If the client has a question about that trip, they ask it in the portal and it reaches the planner with the trip attached. Nobody has to look up which shipment it concerns.

Less email, the same records.

Many clients currently receive an email at departure and delivery, or call themselves. The portal uses data already in the transport system and job cards and asks the planning desk for no new input. Large clients with their own purchasing or order system can also receive milestones as messages instead of logging in. The express operator remains the owner of trip and time data; the client manages which colleagues have access.

Login or a tracking link

A tracking link per trip is simple: no account, just a link in the confirmation. For a client with many trips a week, a portal with overview and history is more convenient. Many operators offer both: a link for one-off customers and an account for those who book express work regularly and need to find proof later.

Live position or milestones only

A dot on the map feels reassuring, but it also shows every detour and fuel stop and raises questions. Milestones with an expected arrival give enough certainty without the client looking over the driver's shoulder. Live position can still make sense for trips with a very tight deadline.

Automatic message or the planner calls

Automatic delay messages are fast, but a client with a production line at a standstill would rather speak to a person when the delay is serious. A workable arrangement is automatic notices for small deviations and a task for the planner when a delay puts the deadline at risk. The client then always knows what is going on.

What customers find in the portal.

Clients see their current and completed express trips in their own environment, with milestones from the job card and a receipt confirmation to download. Whether the explanation holds up, we check beforehand with a trip that runs to plan and a trip that picks up a delay on the way: does the customer get the right explanation in time? User management within large clients, status messages to their own systems and an overview of deviations per period can be switched on later.

Can clients request new express trips through the portal?

They can, using the same form as on the website but with addresses and contacts already filled in. The request goes to the planner for assessment. So the portal never commits to a deadline itself; it does show that the request has been received and when planning will respond.

How long do receipt confirmations stay in the portal?

That is up to you, ideally in line with what your accounts already keep. Completed trips remain searchable by date, reference number or the client's own reference. A client can then find proof even if their own customer only raises a question about a delivery weeks later.

Does the client see the driver's name?

Only if you want them to. A first name and the planning desk's phone number are usually enough. Sharing the driver's direct number tends to lead to calls on the road, while the planner has the fuller picture and the driver can keep their attention on driving.

Can clients add their own reference to a trip?

Yes, when requesting it or afterwards in the portal. That reference then appears on the receipt confirmation and the invoice, so the client's accounts team can match the trip to their own order or cost centre. It saves back and forth when reconciling invoices.
