Transport and delivery: Scheduling software for express freight operators

Scheduling software for express freight operators that shows which driver and vehicle are free, where they are and whether a requested deadline can be met from that starting point.

Scheduling software for express freight operators. A schedule that compares resources and availability, then confirms an appointment. Example with demonstration data.

What makes scheduling hard for express freight operators.

At an express freight operator the schedule changes with every phone call. A driver who has just unloaded in Eindhoven may be the best choice for a job out of Venlo, but the planner only knows that if they call. Driving and rest times, a vehicle that turns out too small or a driver still carrying a return shipment are not on the whiteboard. So a deadline gets promised before it is clear who will drive and when they can leave. When it goes wrong, it only comes out when the recipient calls asking where the shipment is, and by then there is no time left to bring in a colleague.

  1. 1

    Keep free capacity current

    Done

Each driver has a status: on the road with cargo, unloaded and free, or off duty.

  2. 2

    Work out departure and arrival

    In progress

For each suitable driver, the schedule calculates when they can reach the collection address and whether the deadline still holds, including loading time and required breaks.

  3. 3

    Commit only after choosing

Once the planner picks a driver, the trip is locked in as confirmed with departure time and expected arrival.

From job to confirmed appointment.

Keep free capacity current

Each driver has a status: on the road with cargo, unloaded and free, or off duty. Free drivers show their last location and remaining working time. Vehicles appear in the same overview with their load space and equipment, so with each new enquiry the planner sees which combinations are even worth considering.

Work out departure and arrival

For each suitable driver, the schedule calculates when they can reach the collection address and whether the deadline still holds, including loading time and required breaks. The planner sees a short list of options and the margin for each. If no option works, they know before promising the customer anything.

Commit only after choosing

Once the planner picks a driver, the trip is locked in as confirmed with departure time and expected arrival. Only then does the confirmation go to the customer. The driver receives the job on their phone with addresses, contacts and loading instructions, and their status changes to on the road.

Alongside your calendar and your team.

Express freight operators often use a transport system or planning board, vehicle tracking in the trucks and a timesheet or tachograph readout for drivers. The schedule reads locations from the tracking system and working hours from the timesheet, but does not take ownership of them. Orders stay in the transport system if that is leading; the schedule adds the overview of free capacity and feasibility. The planner gets one picture without keeping three screens side by side.

Own drivers or subcontractors too

At a peak or for a long run, many express operators bring in a partner or self-employed driver. Including them in the schedule shows more options, but gives you less visibility of their location and hours. A middle way is to show subcontractors as a separate category, with availability entered by hand.

Nearest driver or best margin

The driver closest by is not always the best choice. They may have little working time left, or a colleague slightly further away has a better-suited vehicle. The schedule shows both and the planner weighs them up. What they chose and why stays visible to whoever works the next shift.

Commit now or call back first

A customer on the line wants an answer. Sometimes the margin is wide enough to confirm straight away; sometimes it is wiser to call back shortly after checking with the driver. The schedule makes that difference visible, so saying yes on the spot is no longer a gut feeling.

What we set up in the schedule.

What is there from day one? An overview of available drivers with location and remaining working hours, a check per option on whether the deadline can be met, and a fixed departure time once the trip is chosen. Together we play out a busy afternoon with several requests at once, and a driver who drops out on the road so a colleague has to take over the load. Charters, night shifts and live positions from your tracking system are added when you need them.

Does the schedule take driving and rest times into account?

The schedule can include a driver's remaining working time if it is available from the timesheet or tachograph data. Where that is not possible, the driver enters an expected finish time at the start of the shift. The planner remains responsible for the check; the software only shows when it gets tight.

What happens if a driver drops out mid-route?

The trip gets the status interrupted, with the last location and the cargo on board. The schedule immediately looks for another driver who can take over the load and whether the deadline can still be met. The planner decides whether to call the customer with a new arrival time or whether a handover will still make it.

Can we also schedule ahead for tomorrow?

Yes. Planned express trips for the next day sit in the same overview with their departure time. They reserve a driver and vehicle, so with a new enquiry the planner sees that capacity is already taken. A planned trip can be moved if a more urgent request takes priority, with a notice to the customer involved.

Do drivers always have to share their location?

Only during their shift, and only if you agree to it. Without tracking, a driver can report where they have unloaded. That is less precise, but enough to see who is nearby. Which data is recorded and how long it is kept is something you decide together with the drivers.
