An embroidery studio works with dozens of thread colours, several kinds of backing and a stream of garments arriving per order. Thread runs out mid job because nobody noticed the last cone of a popular colour was half empty. Track thread and backing
Every thread colour and type of backing gets a record with current stock, in cones or rolls. When a job starts, the expected usage based on stitches is reserved. When a colour drops below an agreed level, purchasing gets a signal before the last cone goes on the machine.
Receive items per order
Supplied and purchased items are counted on arrival by style, colour and size and linked to the order and owner. They get a fixed spot or a label, so they are not mixed up with another order's items. Differences from the packing slip are logged straight away.
Book usage and rejects
After stitching, thread and backing usage is booked and items are written off based on the job card count. Rejects are recorded separately with the owner: with supplied items the client needs to know what happened, with your own stock the loss is the studio's.

Many embroidery studios track thread by eye and items on a list per order. We take over existing lists and count thread and backing once at the start. Thread suppliers have their own colour codes, which we use as the basis. Purchasing owns orders; the studio floor owns counts and usage. Client items remain the client's property and are kept apart from your own stock.
Count thread or estimate usage
Counting cones is accurate but takes time. Estimating usage from stitches is automatic but drifts because of thread breaks and leftovers. A combination works: estimate per job and count periodically to correct. Stock stays reliable enough without counting every day. How often you count is agreed per thread type.
Own garment stock or per order
A small stock of popular polos and jackets makes quick orders possible but ties up cash and space. Buying per order keeps the studio clear but leaves you dependent on the supplier. The system shows which items keep coming back, so the decision rests on data. Leftovers from earlier orders become visible this way too.
Supplied items apart or mixed
Storing supplied items alongside your own stock is practical but needs clear labels. A separate spot per order avoids confusion but takes space. The system can record a location per order, so everyone knows where the items are. When an order is finished, that location is released again so the studio stays organised.

We set up thread per colour and backing per type, with reservations per order, receipt of supplied garments with their owner and booking of usage and rejects after embroidering. Together we walk through an ordinary week of orders, and an order where a thread colour runs out halfway while a customer supplies three pieces too few. Yes. If a colour is available from two suppliers under different codes, we link them. When you run short, you see which alternative exists. Whether it truly looks the same remains the studio's judgement. The link is kept for later orders.
How do we know how much thread a job uses?
Usage can be estimated from the stitch count per colour in the stitch file. It is not exact, but it is enough to see whether stock will last before a job starts. Periodic counts correct the estimate.
What do we do with items left over after an order?
Supplied items go back to the client, and the record shows how many. Purchased items return to free stock with style, colour and size. They can then be used for a later order or a sample.
Do we have to label every cone?
Not necessarily. Thread cones usually already carry the supplier's colour code. We track stock per code without following each cone individually. A label of your own only helps for special threads or large rolls of backing.
