Business supplies and services: Operations dashboard for document digitisation companies
An operations dashboard for document digitisation companies that makes missing scans, indexing errors and time per step visible, traceable to the batch and the staff who did the work.
Which figures document digitisation companies really need.
Document digitisation companies often only hear about an indexing error or a missing scan when the client calls, sometimes long after delivery. It turns out to be one file, but nobody knows whether it is a one-off slip or a pattern linked to a particular document type, scanner or step. Checkers find errors during the work, but those corrections are rarely recorded in a way that can be analysed later. Without an overview it stays unclear whether handwritten forms need more checking, whether a scanner skips pages on thin paper, or whether preparation of bound material is being rushed.

From scattered figures to one overview.
Define error types
We agree a fixed list of error types: missing page, duplicate page, wrong order, illegible scan, wrong index field and wrong split. Checkers use that list for every correction on the batch card. Client reports after delivery get the same error types, so internal and external signals can be compared.
Connect cards, counters and reports
The dashboard reads batch cards with corrections, counters from the capture software and reports from the portal. Each batch shows which scanner, document type and staff were involved, so an error can be traced back to the step where it arose.
Investigate patterns and adjust
The overview shows which error types occur most per document type and per step. If a scanner turns out to miss pages on thin paper, that becomes a maintenance item. If handwritten fields go wrong more often, checking can be tightened there. Each adjustment is noted against the error type.
Figures from your own work.
Scanning bureaus have error data spread across batch sheets, client emails and capture software logs. The dashboard brings it together without double entry: corrections come from the batch card, reports from the portal and counts from the capture software. You own the quality data and decide what is shared with clients. The capture software remains the source of raw counts.
Errors found before or after delivery
Errors your own checks find are cheap to fix; errors the client finds cost trust. The dashboard shows both separately. A rising share of external reports signals that checking does not match what the client cares about, even when the overall error count stays low.
Look per person or per step
Showing errors per staff member can help with coaching but also puts pressure on the team and leads to fewer corrections being logged. Looking per step and document type shows where the process is vulnerable. We start there; individual figures are only discussed when there is a clear reason.
Client report or internal only
Some clients want a quality summary at delivery with the number of corrections and the checking method. That can build confidence if it is clear and leaves out internal detail. The dashboard can produce a summary per project, while the internal analysis of causes stays with you.
Which figures we put on the dashboard.
The dashboard starts with the fixed list of error types, batch cards and portal reports brought together, and an overview per document type, step and scanner. We check it together with the data from an ordinary completed project, and with a project where a client reports several missing pages after delivery. A quality summary per project for the client and lead time per step can be switched on later.

Explore pricing and optionsHow much data do we need before it means something?
After a few projects with consistently completed batch cards you see the first patterns per document type. The more varied the archives that pass through, the more reliable the comparison. A single project mainly shows whether the error types are being used properly.
Can we tell if a scanner has a problem?
Yes. Because every batch is linked to a scanner, you can see whether certain error types cluster on one device. Missing or duplicate pages concentrated on one scanner are often a first sign of a maintenance need or a setting that does not suit a paper type.
What do we do with errors the client reports?
They come in through the portal or the assistant and get the same error type as internal corrections. The project lead links them to the batch and reviews the batch card, so it becomes clear why internal checking missed the error and how to adjust it.
Do checkers have to fill in much extra?
No. With each correction they choose an error type from the fixed list on the batch card, which they would note anyway. A comment is optional. The dashboard uses only what is already recorded, so logging does not slow the work.

- Digital job cards for document digitisation companiesDigital job cards for document digitisation companies: a batch card that follows the document sequence from box to file, so order, preparation and checking can be proven per batch.
- Website for document digitisation companiesA website for document digitisation companies that explains scanning services, indexing options and the handling of originals clearly enough for a records manager to recognise their own project before enquiring.
- Enquiry form for document digitisation companiesAn enquiry form for document digitisation companies that captures box volume, document structure and the desired file layout, so a scanning project can be assessed before anyone visits the archive.
