Business supplies and services: Digital job cards for document digitisation companies
Digital job cards for document digitisation companies: a batch card that follows the document sequence from box to file, so order, preparation and checking can be proven per batch.
What a job card for document digitisation companies should hold.
At document digitisation companies, things rarely go wrong during scanning itself but in the handovers. A box is split between two preparers, a file lands in the wrong batch, a bound attachment is scanned separately and becomes detached from the file it belongs to. After scanning, the order must match the original exactly, and the paper must go back into the box in the same sequence. If a batch only has a paper slip with a number on it, there is no way of tracing afterwards who did what or where a missing page went.

From preparation to signed-off card.
Build the batch from the box
When opening a box, the preparer creates a batch card with the box number, the first and last file in the sequence and particulars, such as a bound attachment or a document that must go on the large format scanner. The label on the box refers to that card, so paper and batch stay together.
Sign off each step
Preparation, scanning and checking are signed off on the same card with a name and time. The scanner operator sees which documents must be handled separately and ticks them off once they are slotted back into the sequence. A page that cannot be scanned, for instance due to damage, is reported with a photo and a short reason.
Check order and refile
The checker compares the scanned sequence with the batch card: is the number of files right, are separately scanned items in the correct place, is anything missing? The paper then goes back into the box in its original order, and the card is closed with a reference to the delivered file.
No more paper and loose photos.
Many scanning bureaus work with a printed batch sheet and the log files of their capture software. The batch card takes over that sheet on a tablet or screen at the workstation and reads from the capture software how many pages each batch contained. The client owns the documents and their order; you own the batch data, which later serves as evidence for the handover list and for any questions about missing items.
Batch per box or per file
A batch per box is simple and follows the physical storage. A batch per file matches the output the client wants more closely but creates more cards. A batch per box with files as lines on the card often works best: one physical unit, with its contents visible per file.
Separator sheets or manual splitting
Separator sheets with a code let the capture software split automatically by file or document, but add preparation time. Splitting by hand afterwards is quicker at the preparation stage but more error prone. The choice depends on how uniform the files are; the batch card records which method was used for each batch.
Scan damaged documents or skip them
A torn or faded document can often still be scanned, with extra care and sometimes on a different scanner. Skipping saves time but leaves a gap in the file. The best route is to report it with a photo and let the client decide, while the rest of the batch carries on.
What goes on the job card.
The batch card shows box number and series; staff sign off each step with name and time, report unscannable pages and check the order. We set that up per workstation. Together we walk through an ordinary box of loose files, and a box in which a bound attachment has to be scanned separately. Reading page counts from the capture software and passing the batch card on to the handover list in the client portal can be switched on later.

Explore pricing and optionsHow do we stop files getting mixed between batches?
Each box gets a label on opening that refers to a single batch card, and the card states the first and last file in the sequence. Only one batch is open at a workstation at any time. If a file ends up in the wrong place, the check catches it because the sequence no longer matches.
Can we see who scanned a particular page?
Yes. Each batch records who did the preparation, scanning and checking, with times. When a question comes up about a missing or illegible page, you can see which staff were involved and what was noted on the card.
What about documents that must not be scanned?
Sometimes a box contains items the client does not want digitised, or that do not belong in the archive. The preparer notes them on the batch card with a short description. They are set aside and discussed with the project lead before anything happens to them.
Does the batch card work when scanning on site?
Yes. On site the card runs on a tablet, even with poor connectivity. Data is stored and sent once a connection returns, so recording stays the same whether boxes are processed in your workroom or in the client's archive.
