Business supplies and services: Inventory software for document digitisation companies
Inventory software for document digitisation companies that tracks archive carriers, collected boxes and scanning supplies, so it is always clear where each original is and what is needed to keep work moving.
Where stock drifts for document digitisation companies.
A document digitisation company manages two kinds of stock, and both are critical. The first is client archives: boxes, files and registers that have been collected and whose location and stage you must be able to state at any moment. The second is your own materials: new archive boxes, separator sheets, labels, secure storage devices for delivery and scanner consumables. If a box goes astray between warehouse and workstation, that is a serious problem for the client. If new archive boxes run out, paper cannot be refiled properly after scanning and delivery stalls.

Register archive boxes on arrival
Every collected box gets a label on arrival with project and sequence number and a fixed place in the store. Receipt is checked against the collection list, so a missing or extra box stands out immediately. From then on each box shows its stage and who moved it last.
Reserve supplies per project
When a project starts, the system works out how many new archive boxes, separator sheets and labels are needed and reserves them. If stock is short, the buyer is alerted before the work reaches that point. Secure storage devices for delivery are reserved and registered per project.
Record outgoing and disposal
When a box goes back to the client or to destruction, it is scanned on departure, with the route and who took it. For destruction, the destruction certificate is linked to the boxes. For every original you can then show where it ended up.
Alongside your purchasing and suppliers.
Scanning bureaus often track collection and return lists in spreadsheets, and supplies in a separate list or in the team lead's head. We bring both together, with a label printer and handheld scanners or phone cameras to follow boxes. The client owns the archives and decides on return or destruction; you are responsible for safekeeping during the project and for your own supplies.
Track boxes or individual files
Tracking per box is usually enough, because the box is the physical unit that moves. For archives where the client wants individual files back mid project, or where a box is split across batches, tracking per file is needed. Per project you choose the level that matches the risk.
New boxes or the original ones
Refiling into the original boxes keeps things familiar for the client, but those boxes are sometimes worn out. New archive boxes are tidier and better for long term storage but cost material and need new labels. The choice is in the quote and the inventory system works with it.
Destroy in house or outsource
Destroying in house gives full control but requires equipment and record keeping. Outsourcing to a specialist is common and provides a certificate, but adds another handover. Either way, each box records when it left, who took it and which certificate or receipt belongs to it.
Which stock we record.
Archive boxes are registered on receipt with a fixed location and phase, supplies are reserved per project, and returns and destruction are recorded. That is how we set it up. Together we replay an ordinary project that arrives in one collection round, and a project where a box is missing on receipt compared with the collection list. Tracking per binder, purchasing alerts and an overview of retained originals per client can be switched on later.

Explore pricing and optionsCan we see what stage each box is at?
Yes. Every box has a status that moves with the batch card: received, in preparation, scanned, checked, refiled and dispatched. Anyone looking for a box sees immediately whether it is in the store, at a workstation or already on its way back to the client.
What if a box is missing on arrival?
Receipt flags that the count does not match the collection list, along with the missing numbers. The project lead contacts the client and the driver before work continues, so a missing box is not discovered only at delivery.
How do we know when to order new archive boxes?
The system totals the reservations for running and planned projects and compares them with stock. If a shortfall looms, the buyer is alerted with the project that will run short first. Ordering is based on upcoming work rather than gut feeling.
Can we prove that originals have been destroyed?
Yes. You scan every box on departure for destruction, and the destruction certificate is linked to those boxes. On request you export an overview per project with boxes, date and certificate, as a supplement to the handover list.
