Transport and delivery: Digital job cards for cycle logistics operators
Digital job cards for cycle logistics operators: a round list with stop instructions on the rider's phone, including proof of delivery and return logging at every address.
What a job card for cycle logistics operators should hold.
A rider in the city centre needs different instructions at every stop: ring at the side door, leave it with the neighbours, take three empty crates back. At many cycle logistics operators these sit on a printed list or in a group chat that is already out of date halfway through the round. Proof of delivery is captured as loose photos nobody links to the right stop. If a return does not come back, the hub only notices when the shipper calls. Afterwards it is hard to see which stop was skipped and why. A job card per round therefore has to keep instructions, proof and returns attached to the same stop.

Load the round with instructions
Before setting off, the rider gets the round on their phone, with each stop's address, number of crates or parcels and the standing instructions for that address. At the hub they confirm the load is complete. Anything missing is reported there and then, instead of being discovered at the customer's door.
Deliver and log at each stop
At every stop the rider ticks off what was delivered, with a photo or the recipient's name where needed. If it fails, they pick a reason from a short list, such as closed, refused or no access. Returns and empty crates are counted at the same stop, so they do not drift around unaccounted for.
Close the round at the hub
Back at the hub the round is closed. Undelivered items and collected returns are checked against what the app says. Differences become visible to the hub manager, who decides what happens next. Only then does the round pass to planning and invoicing as complete.
No more paper and loose photos.
Riders use their own or a company phone and often already carry a scanner or delivery app from a large shipper. We look at which stop data comes from that and what is missing, such as standing instructions per address or return counts. The job card fills the gaps in the existing app, or replaces it if it is too limited. Address instructions are managed by planning, stop statuses by the rider, and the hub owns the final check.
Photo or signature as proof
A photo of the parcel at the door is fast and works when nobody answers. A signature on screen gives more certainty for valuable goods but takes time and is awkward with gloves. Many operators decide per shipper or shipment type what is needed. The job card only asks for the proof agreed for that stop.
Standing or one-off instructions
Instructions tied to an address, like a gate code, should be kept so the next rider has them too. Instructions for a single delivery, like collecting a wrong order, belong to that job. Managing the two separately means standing instructions are never lost and temporary ones do not clutter the address record.
Working offline or always connected
In car parks, basements and old buildings, mobile signal drops regularly. A job card that only works online leaves the rider stuck. A version that ticks off offline and syncs later avoids that. The planner does need to know that statuses may arrive late, and the overview makes that visible.

Riders see their round with stop instructions, deliver per stop or give a reason, and returns are counted. We prepare your reasons for failed stops and the returns rules. Then we walk through an ordinary morning round and a round where one stop is closed and crates are left behind, until the hub can close the round without paper. Passing proof of delivery automatically to shippers' apps is switched on per shipper.

Explore pricing and optionsWill this work on the phones our riders already have?
Yes. The job card runs on an ordinary smartphone with no extra hardware. We keep buttons large enough for cold fingers or gloves. If you already use scanners, the job card can run alongside them or use the phone's camera to scan, whichever is more practical.
What if a rider ticks off the wrong stop?
A rider can correct a ticked stop within the same round, with a short reason. After the round is closed, only the hub manager can make corrections. Every change stays visible in the stop's history, so it is clear later what happened.
Can we track empty crates per customer?
Yes. At each stop the rider counts how many crates were dropped and collected. The balance per customer updates when the round closes. You can then see which shop keeps holding on to crates and raise it with the shipper.
Does the shipper see a delivery straight away?
Yes, through the portal or directly in the shipper's own system, if they connect it. The status per stop is available as soon as the rider records it. Whether it is passed on immediately or only after the hub check is your choice per shipper, which avoids notifications that later need correcting.
