Transport and delivery: Customer portal for cycle logistics operators

A customer portal for cycle logistics operators where shippers follow delivery status, book returns and find their proof of delivery without picking up the phone.

Customer portal for cycle logistics operators. A customer portal with documents, status and a decision point. Example with demonstration data.

What customers of cycle logistics operators want to see.

Shippers using bike couriers want to know where their goods are and whether a return has been picked up. At cycle logistics operators this usually means a phone call or an email to the planner, who looks up statuses in between building rounds. Return requests arrive as stray messages and get lost in the rush. Proof of delivery is sent on request as a photo, sometimes days later. A shop chain with several branches also wants access arranged per location, so one branch does not see another's deliveries. Without a portal, customer contact becomes a second job for the people who should be planning rounds.

From invitation to approval.

Set up access per shipper

Each shipper gets their own space showing only their shipments. Larger clients can create several users, for instance per branch or department, each with their own rights. A branch employee sees only deliveries for their address, while head office sees everything. The operator stays in control of who gets which role.

Show status and proof

For each shipment the shipper sees whether it is at the hub, on the way, delivered or not delivered with the reason. The proof, such as a photo or a name, sits right next to it. Statuses come from the rider's job card, so the portal reflects what actually happened on the street.

Book and follow returns

A shipper books a return through the portal: which address, what needs collecting and by when. That request lands with the planner as a stop for an upcoming round. Once the return is collected and checked at the hub, the shipper sees it reflected in their overview.

Less email, the same records.

Statuses originate in the riders' delivery app or job card, while return requests currently land in the planning inbox. The portal reads statuses from that same source and drops return requests straight into the planner's list. Large shippers with their own tracking system can receive the statuses there directly instead of portal access. Shipment data belongs to the shipper; status and proof belong to the operator and are shared.

Portal or email notifications

Some shippers do not want to look anything up and only want to hear when something goes wrong. Others prefer checking an overview themselves. A portal with optional alerts on exceptions covers both. We start with what the main shippers ask for and avoid sending everyone an email for every successful stop.

Returns by portal or phone

A return booked through the portal is complete and traceable, yet some small shops will keep phoning. It helps if the planner enters phone returns in the same screen, so there is still one list. That way you can encourage portal use without forcing it on clients who would rather not.

Live tracking or status per round

Watching a rider live on a map sounds attractive but prompts questions the moment they take a different street. A status per stop, updated after delivery, is enough for most shippers and creates less noise. For recipients with a tight window, an expected arrival per round can still be useful.

What customers find in the portal.

Shippers log in, see their shipments with status and proof of delivery and register returns, which reach the planner straight away. Beforehand we set up access per shipper and, for chains, per branch. Together we look at a small shop with one address and a chain that wants each branch to log in separately. Alerts on exceptions, an export for the shipper's administration and passing statuses to their own systems are switched on when shippers ask.

Can branches of one chain see each other's deliveries?

Only if you or the shipper set it up that way. By default, a branch user sees only their own address. A head office user can see every branch. That keeps the overview useful for everyone and avoids questions about deliveries that are not theirs.

How quickly does proof of delivery appear?

As soon as the rider ticks off the stop and the phone has signal, the status updates. If you prefer a hub check first, it appears after the round closes. You can choose per shipper, depending on how quickly they need the information.

Can a recipient look in the portal too?

The portal is meant for shippers. For recipients, a simple status page reached by link, without logging in, is usually enough. It shows only what matters to that recipient, such as expected delivery day and whether the parcel has arrived. The shipper's sensitive data stays shielded.

What happens to a return that is not collected on time?

A return that does not fit in the planned round stays visible as outstanding with a reason. The planner sees it at the top when building the next schedule. The shipper sees in the portal that it has not been picked up yet, so they do not need to call to find out.
