From receipt to use.
Record materials by lot
On arrival, every delivery of wax, fragrance oil, wick, vessels or boxes is logged with supplier, lot number, quantity and, where relevant, a best-before date. Fragrance oil is tracked in litres or kilos, wicks by size and type. For every item you can see which lots currently make up the stock.
Reserve for pouring batches
As soon as a production order is scheduled, the system reserves the required quantity of each material based on the formulation. The stock list then shows what is on hand, what is reserved and what is still free. A salesperson about to confirm a new order can see whether that fragrance oil is already spoken for.
Book usage and count
After pouring, actual usage is booked from the job card, including rejects. Periodic counts reveal any gap with the records. A large difference on one fragrance or wick size is a reason to check whether the formulation is right or material is going missing somewhere.

Candle makers often keep stock in a spreadsheet or in the webshop, which only lists finished products and leaves raw materials out. The inventory module adds raw materials and leaves finished goods in the webshop if that is where they are already managed. Purchasing owns orders and supplier details, production owns usage and rejects. Purchase orders can come over from the accounting software or an order list, so on arrival only quantity and lot need confirming.
Raw materials only or finished goods too
Tracking raw materials alone solves running short of wax or fragrance, but tells you nothing about packed candles on the shelf. Adding finished goods helps with direct deliveries to shops. If your webshop already holds finished stock, materials can live here and finished goods there, while the two stay in step.
Continuous booking or periodic counts
Booking usage per batch gives a live picture, but only if job cards are filled in consistently. A periodic count takes a few hours yet shows where records and reality drift apart. Most candle makers combine the two: book every batch and recount the most expensive materials at a fixed moment.
Fixed reorder point or seasonal
A fixed reorder point per material is simple, but usage climbs sharply in the months before the holidays. A reorder point that takes scheduled runs into account stops vessels or fragrance oil running out at the worst moment. That does depend on the production schedule being kept current.

Yes. A new lot can be given an awaiting-trial status on arrival. It then counts as on hand but not as usable for pouring. Once a test burn is approved it is released, and who released it and when is recorded against the lot.
How do we keep track of wicks in different sizes?
Each wick size and type is registered as its own item, linked to the formulations that use it. You can count per box or per reel, depending on how you buy wicks. That way you can see which size is running low before a pourer discovers it halfway through a batch.
Can the system warn us about fragrance oil that has been in stock too long?
If a best-before or review date is entered on arrival, the system flags lots approaching it. You can then plan to use them in upcoming runs. What interval makes sense for each fragrance depends on what your supplier tells you about it.
What do we do with leftovers from an old wax lot?
Leftovers stay visible as their own lot with the remaining quantity. A pourer can use them deliberately, for trials or for a run where blending is acceptable. Keeping them separate means that, if a complaint comes in, it remains clear which lots ended up in a batch.
