What a job card for candle manufacturers should hold.
When a customer reports that a candle smokes or the scent is weaker than the last delivery, candle manufacturers need to trace which wax lot, which fragrance oil and which wick went into that batch. Prepare the card with the formulation
Every pouring batch has a job card carrying the approved formulation: wax type, fragrance oil and load, wick type, vessel and target pour temperature. The pourer also sees which sample the customer signed off. Everyone starts from the same point, even when someone other than the usual pourer is at the table that day.
Record lots and deviations
During pouring, the pourer scans or selects the wax and fragrance lots used and logs the actual temperature. Any deviation, such as a different wick because the usual one has run out, is noted with a reason. The card is given a batch reference that later appears on the box or label.
Check before release
Once cooled, someone checks a few candles for surface finish, wick position and adhesion to the vessel, and records any rejects. Only then is the batch released for packing. A departure from the formulation goes to the production lead, who decides whether the run can ship or needs a burn test first.

Candle makers typically work from a recipe folder or spreadsheet, an order list and paper notes at the table. The job card pulls the formulation from one central list managed by the production lead, and wax and fragrance lot numbers from the stock records. A tablet at the pouring table is enough, though with gloves and wax on your fingers entry needs large buttons or a scanner. The batch reference carries through to label or packing slip, so customer and workshop quote the same number.
Track every candle or every batch
Logging each candle is unrealistic for handmade work and adds little. A batch poured in one go from the same lots is the natural unit. It can still make sense to split a batch when a new bottle of fragrance oil is opened halfway, so a complaint later points to the right lot.
Allow deviations or block them
A job card that allows no deviation pushes pourers into workarounds when a material runs out. Allowing deviations with a mandatory reason and a notification to the production lead keeps work moving and makes the change visible. The production lead then decides whether it becomes part of the formulation or stays a one-off.
Scan lot labels or pick from a list
Scanning lot labels prevents typos and is quick when suppliers put a readable code on their drums and bottles. Where they do not, a pick list of opened lots works just as well. The right choice depends on your suppliers' labelling and on how the pouring table is laid out.

Does every pourer need their own account?
It helps to know who poured a batch, but a short personal code on a shared device is enough. What matters is that deviations can be tied to a person, so the production lead knows whom to ask about what happened on that particular day at the table.
How do we protect formulations we would rather not share?
Job cards only show what the pourer needs. If you prefer, they see a fragrance code instead of the supplier name, and a quantity per batch without the full composition. The complete formulation stays with the production lead. You decide what each role is allowed to see.
Can burn test results be linked to a batch?
Yes. A burn test is logged against the batch with date, burn duration, observations on flame, soot and scent throw, and a photo if useful. Over time each formulation builds up a history that helps with complaints and with fine-tuning a recipe.
