Manufacturing and processing: Enquiry form for candle manufacturers
An enquiry form for candle manufacturers that captures the fragrance, candle shape, packaging and quantities up front whenever a private label or wholesale request comes in.
What makes an enquiry complete for candle manufacturers.
An enquiry to a candle manufacturer often starts with a single line: we are looking for a luxury scented candle with our logo on it. That says nothing about whether it means an existing formulation with a custom label or a new fragrance, whether the glass should be frosted or clear, whether a lid and box are needed, or whether this is a small first run or a standing order. The office sends back a list of questions, the customer answers half of them, and the sample is poured on assumptions. Only at sign-off does it emerge that the chosen scent does not suit the wax or the box is unavailable.

From form to assessed enquiry.
Establish the type of request
The form opens by asking what the customer is after: an existing candle with their own label, a modified scent in a standard shape, or a completely bespoke line. Each type leads to different follow-up questions. Someone choosing an existing candle does not have to describe a fragrance profile, while someone wanting their own scent is asked about direction and references.
Pin down packaging and run size
The customer picks from the packaging you can supply: jar, lid, box, label, or packaging they provide themselves. The form also asks for an indication of run size and whether this is a one-off or a repeat order. If a choice falls outside your standard range, the customer sees that it will need further discussion.
Complete request to the office
Each enquiry arrives as a single overview with type, scent brief, shape, packaging, run size, preferred delivery window and any files such as a logo. Anything missing that affects the assessment is flagged at the top. The office can see at a glance whether a sample makes sense or a conversation needs to happen first.
Enquiries in one place, not the inbox.
Candle makers currently receive enquiries by email, through a basic contact form, or from trade fair conversations written up later. The new form feeds those requests into the list where the office prepares quotes, or forwards them as a structured email if that is the only channel. Logos and reference photos are stored with the enquiry rather than in someone's personal inbox. Formulations and cost prices stay outside the form; customers only see choices you are happy to make public.
Short form or detailed questionnaire
A short form brings in more enquiries, but many of them are exploratory. A long list covering scent, vessel, lid, box and run size puts some visitors off, though the enquiries that do arrive are usable. A middle path is a form that starts brief and only digs deeper once someone selects private label.
State a minimum run or leave it open
Stating a minimum order stops requests for a handful of labelled candles that will never pay. It also means occasionally missing a brand that starts small and grows. Some candle makers set a threshold for bespoke fragrances while allowing smaller runs when only the label on an existing candle changes.
Ask for artwork now or later
Having customers upload a logo or brand guidelines straight away makes the enquiry concrete and helps estimate label work. Yet many customers do not have final artwork at that stage. Making the upload optional, with a question about whether a design exists yet, tells the office what still needs doing without the enquiry stalling.

Ready at the start: a form with three types of enquiry, choices for shape, scent direction and packaging, an upload field and an overview for the sales office. Together we check it with an everyday enquiry for an existing candle with a custom label, and a tricky one: an own scent in a glass you do not stock. Multiple languages, passing enquiries to the quote overview and an automatic acknowledgement you switch on afterwards.

Explore pricing and optionsCan the form show which fragrances are available in which wax?
Yes, provided you record those combinations. If a customer picks a soy wax container candle, the form only lists fragrances tested in it. Other scents can still be entered as a wish, with a note that they need a trial first. The customer then understands why that request takes longer.
What happens to enquiries that are not a good fit?
They still arrive, but clearly flagged, for example because the run is below your threshold or the requested packaging is not something you stock. The office can then send a standard reply with an alternative, such as an existing collection with a custom label, rather than working through each one individually.
Can trade fair contacts be entered through the same form?
Yes. An internal version lets someone from sales log a trade fair conversation using the same fields. The enquiry then sits in the same overview, so follow-up does not get lost between business cards and notebooks. Fields that were unknown during the conversation stay visible as open points.
How do we handle customers who want another brand's scent?
The form can ask for a scent direction and references, but what you do with them is your call. An open description and a question about the mood they are after usually work better than a brand name. Whether such a request fits your policy is for the office to judge; the form promises nothing.
