Events and rental: AI enquiry assistant for AV rental companies

An AI enquiry assistant for AV rental companies that answers questions about connection options, package contents and collection with approved information, and passes technical doubts to a person.

AI enquiry assistant for AV rental companies. An AI assistant that answers from approved sources or hands over to a colleague. Example with demonstration data.

Which questions AV rental companies keep getting.

Clients of AV rental companies ask many similar questions: can I connect a laptop with only a modern port to the projector, will my own microphone work with the desk, can I play music from my phone, what exactly is in the party package, what time can I collect. The rental planner answers them between scheduling, and at weekends nobody is there. Other questions are harder: will this package work in a hall with a lot of echo, can I run these speakers off an ordinary socket that also powers a coffee machine. An assistant that makes things up there can ruin an event.

Choose sources per item and package

The assistant works only with information you have approved: connections per item, package contents, available adapters, collection and return times and frequently asked questions. Each source is linked to the item or package it covers. What is not in there, the assistant does not know and does not claim to.

Link the question to the booking

If the client gives their booking or signs in through the portal, the assistant knows which package and equipment they have hired. A question about connecting a laptop then gets the answer for that projector and the adapters in that package, and if relevant which adapter can be hired separately.

Answer or hand over

Questions about sound in a particular room, power supply or combinations not covered by the sources, the assistant does not answer. It creates a request for the planner with the question and the booking. The client is told when to expect an answer, according to the times you have set.

On your own information, with a person behind it.

Questions now arrive by phone, email and messages. The assistant sits on the website and in the customer portal and uses data from the rental system, manuals and a list of frequently asked questions you already have or draw up together. Requests go to the planner's inbox or system. You own the sources and decide which topics the assistant answers. Conversations are stored for review and improvement.

Practical questions only or technical too

Collection times, package contents and which adapter is included are factual questions with a fixed answer. Whether a package suits a particular room is a technical judgement. Let the assistant answer the factual questions and pass technical trade-offs to a person, so no client relies on wrong advice.

Out of office hours or not

At weekends, when many events take place, the office is often empty. An assistant can answer practical questions then. For a problem during an event, an emergency number is better than a request read on Monday. The assistant gives that number if you want it to.

Suggest extra hire or stay neutral

An assistant can suggest an adapter or extra package when asked about connections. That helps when it is genuinely needed but feels pushy when it is not. Let the assistant mention extra hire only when the approved information links it to that situation. The client should never feel sold to.

What the AI assistant may answer.

At the start the assistant gets approved texts on connection options, package contents and collection and return times, and rental system data as its only source. Before going live we ask it an ordinary question about connecting a laptop to a projector together, and a question about sound in an echoing church that it should pass to a colleague. Answers per booking through the portal can be switched on later.

Can the assistant see what a client has hired?

Only if the client gives their booking or is signed in to the portal, and only the details needed to answer the question. Without a booking the assistant gives a general answer and says it may differ per package.

What does the assistant do with a problem during an event?

It does not try to fix a fault remotely. If you have an emergency number for live events, it gives that straight away. Otherwise it creates a high-priority request. Simple checks from your instructions, such as whether the desk is switched on, it can mention.

Can the assistant advise which package a client needs?

It can explain which packages exist and which occasions you recommend them for, as stated on the site. It does not give tailored advice for a specific room or audience. It suggests filling in the enquiry form or talking to the planner.

How do we keep connection information up to date?

Connections come from the item data in the rental system. When a new item or adapter is added, it is recorded there and the assistant uses it. Questions the assistant could not answer show where the data still has gaps.
