Business supplies and services: Scheduling software for wayfinding companies
Scheduling software for wayfinding companies that plans installation routes per building around access times, produced signs and the order of locations, so fitters never stand at a locked door.
What makes scheduling hard for wayfinding companies.
Wayfinding companies often install in buildings that are in use. A hospital ward is only accessible early in the morning, an office does not want drilling during working hours and a school only during the holidays. On top of that a fitter needs to know which signs are ready, where the key or access pass is and whether a cherry picker is needed. On new builds installation depends on the contractor: walls must be painted and ceilings closed. The planner keeps this in a calendar with loose notes. A fitter who discovers halfway through that a wing is not yet accessible, or that the signs for the third floor are still in production, loses time and has to come back.

From job to confirmed appointment.
Installation work per location series
Based on the approved sign schedule, the planning groups signs into location series, such as a floor, a wing or a stairwell. For each series it estimates the installation time and equipment needed, such as a ladder, mobile scaffold or cherry picker. That gives an overview of installation days per building.
Check access and readiness
A location series is only firmly scheduled once its signs are produced and the building is accessible in that window. For each building the access times, contact person, keys or passes and any escort are recorded. On new builds the system tracks whether the contractor has released the space.
Plan the route and adjust
The planner puts together a daily installation route along location series in a logical order, so fitters do not criss-cross a building. If a series drops out because a ward is closed, the software shows which other series can be brought forward. The client receives an updated schedule.
Alongside your calendar and your team.
Wayfinding companies often plan installation in a shared calendar and track production status in their own list or production system. The schedule reads completion reports from production and the sign schedule from the project. Access arrangements are made with the building manager or contractor, who remain the owners of keys, passes and the construction programme. Fitters are in-house staff or regular subcontractors with their own availability.
All at once or series by series
Signing an entire building in one installation period gives a clear moment of opening, but requires every sign to be ready and the whole building to be accessible. Installing series by series spreads the work and suits buildings in use, but means old and new signs hang side by side for a while.
Remove old signs now or later
Removing old signs while fitting new ones avoids confusion, but can leave a route temporarily unsigned. Removing them later keeps the old route intact, but gives duplicate and sometimes conflicting information. In hospitals and public buildings the sequence needs agreeing with the client before work starts.
Install out of hours or during use
Installing outside opening hours avoids disruption, but costs more and needs access arrangements. Installing during use is cheaper, but requires screening off and quiet working. The schedule can record per building and zone what is allowed, so it does not need to be renegotiated with the building manager before every installation day.
What we set up in the schedule.
Installation is planned per location series on signs that are produced and ready, access windows and fitter capacity, with a daily route per fitter. That is how the planning is ready at the start. Together we replay an ordinary installation in an office building, and a hospital project where a ward stays closed at the last moment. Reading in contractors' construction schedules and sharing the planning with the client can be added when you need them.

Explore pricing and optionsCan the client see when each zone is being installed?
Yes. The client sees per zone or location series when work takes place and what is expected of them, such as access or an escort. Internal details such as which fitter is coming stay internal. That way they can inform staff and visitors in good time.
What if signs come out of production later than planned?
The related location series automatically becomes provisional and the planner sees which installation days are at risk. They can bring forward another series whose signs are ready. The client is notified if the agreed date moves.
How do we allow for cherry pickers or scaffolding?
For each sign or location series the required equipment is recorded. The schedule reserves that equipment and warns if a cherry picker is already booked elsewhere on the same day. For hired equipment the planner sees when it needs to be ordered.
Can fitters see their daily route on their phone?
Yes. Fitters see their route with buildings, location series, access instructions and contacts. If the schedule changes, they get a notification. They know in advance whether to collect a key at reception or report to the site office.
What often connects to this.
- Digital job cards for wayfinding companiesDigital job cards for wayfinding companies that give fitters the sign schedule with location codes, arrow directions and mounting heights, and let them confirm per sign that it is correctly placed.
- Website for wayfinding companiesA website for wayfinding companies that explains sign types, mounting systems and how a wayfinding project runs to building managers, architects and developers who have choices to make.
- Enquiry form for wayfinding companiesAn enquiry form for wayfinding companies that collects the location list, sign text, floor plans and wall surfaces, so the project manager can judge what a project really involves.
