Business supplies and services: Quotation software for wayfinding companies
Quotation software for wayfinding companies that prices sign sizes, materials, fixings and installation per location from the sign schedule, so every figure traces back to a sign.
Where quotes for wayfinding companies get stuck.
A quote from wayfinding companies covers hundreds of signs across a handful of types, each with its own size, material and fixing. Project managers work it out in spreadsheets that are built differently for every project. A change to the location list, such as an extra wing or fewer door signs, means counting and recalculating by hand. Fixings depend on the surface: a sign on glass costs something different from one on concrete, and a ceiling suspension takes more work than a wall sign. Design and text work are sometimes included as a fixed sum, although they depend heavily on the number of unique texts. The client receives a total and cannot see which choices cost the most.

From enquiry to signed quote.
Start from the sign schedule
The quote starts from the sign schedule: a list of every sign with location code, sign type, size and surface. The software groups signs of the same type and size and counts them. When the schedule changes, a new quote version is created with the differences from the previous one visible.
Material, fixings and installation
For each sign type and size the software calculates material and production, and for each surface the fixings and installation time. A ceiling suspension, a post with foundation or work at height gets its own rate. Design and text work are calculated from the number of unique signs rather than as a fixed sum.
Proposal per zone or sign type
The proposal can be shown per floor, per zone or per sign type. The client sees where the money goes and can, for instance, choose a simpler door sign or a different mounting system. Approval is recorded against the schedule version, so production and installation work from the same list.
Alongside your calculations and price lists.
The sign schedule is usually drawn up in a spreadsheet or design package. The quotation software reads it in and keeps the company's own rates for material, production, fixings and installation. Purchase prices for sign systems and materials come from suppliers, who remain the owners of their price lists. An approved quote becomes the basis for production, installation scheduling and eventually the invoice in the accounting package, without anyone having to copy the quantities again.
Price per sign or per project
A price per sign makes every change easy to calculate and gives the client insight. A project price is tidier, but makes extra work and reductions harder to settle. Many companies combine a fixed project price for design and coordination with prices per sign type for production and installation, so changes stay easy to account for.
Design separate or included
Listing design work separately shows that a good wayfinding plan takes thought, and allows design and execution to be awarded separately. Folded into sign prices the quote looks simpler, but the value of the design becomes invisible. On projects where an architect supplies the design, listing it separately is often essential.
Interchangeable text or fixed print
Signs with interchangeable text strips cost more upfront, but less with every change. Fixed print is cheaper and often cleaner, but needs a new sign for every name change. The quote can show both options side by side, so the client can weigh up how often their organisation changes.
What we prepare in the quotes.
From the start, quotes come from a sign schedule, with material, production, fixing per surface and installation, and approval per version is signed online. Before you send quotes with it, we recalculate a simple floor with door signs and directional signs together, and a project where the client adds a wing after the first quote. Exterior wayfinding with posts and foundations, and an approval that becomes a production order straight away, can be switched on later.

Explore pricing and optionsHow do we keep the quote in line with a changing sign schedule?
Every quote is linked to a version of the sign schedule. If the list changes, the software creates a new version with the differences shown. An approval always applies to that combination, so it is clear later which signs were ordered and which come as extra work.
How do we price fixings on different surfaces?
For each surface you record the fixing materials and installation time. The sign schedule states the surface for every sign. The software adds it up and shows it per zone. The client sees why signs on glass or concrete are priced differently from those on an ordinary wall.
Can we quote design work separately?
Yes. Design and text work are calculated from the number of unique signs and the number of text proof rounds you allow. They can be shown as a separate item or spread across the signs. On projects where an architect does the design, you leave this item out.
What if the client wants a cheaper alternative?
An alternative can be offered per sign type, such as a simpler material or a different mounting system. The client sees what each alternative means for price and appearance. The approval records which alternative was chosen, so production makes the right sign.
