Business supplies and services: AI enquiry assistant for wayfinding companies

An AI enquiry assistant for wayfinding companies that answers questions about text corrections, sign types and change requests from approved information, and passes specific requests to the project manager.

AI enquiry assistant for wayfinding companies. An AI assistant that answers from approved sources or hands over to a colleague. Example with demonstration data.

Which questions wayfinding companies keep getting.

After handover, wayfinding companies get many questions from clients: how do I request a text correction, can I replace a name strip myself, how long does a new door sign take, what does it cost to rename a department. During a project, the client's staff also ask how they should check a text proof. Project managers answer those questions again and again, often with the same explanation. At the same time a wrong answer is awkward: telling a client they can replace a strip themselves when that system needs a tool leads to a damaged sign. An assistant must therefore only answer with approved explanations and know when the project manager is needed.

Collect explanations per system

Together we gather the explanations you already give: how to request a text correction, which sign systems have interchangeable strips and how they are replaced, how to check a text proof and what general lead times are. Each source gets an owner who keeps it current.

Recognise the question and system

The assistant recognises whether a question is about a text correction, a sign system, maintenance or a price. For a question about a sign system it tries to establish which system is involved, for example from a photo or description, and uses the explanation that belongs to that system.

Answer or hand over

If the answer is in the sources, the assistant gives it with a reference to the source. If it concerns a specific change request, a price or a situation not covered by the sources, it hands the conversation to the project manager with the question and any photo attached. The client knows who will respond.

On your own information, with a person behind it.

The assistant uses information that already exists: explanations on the website, sign system manuals and the procedure for text proofs and changes. It has no access to sign schedules or quotes. Handed-over conversations reach the project manager or the system the team already uses. Sign system suppliers remain the owners of their manuals; the wayfinding company decides which version the assistant uses.

On the website or in the portal

On the website the assistant helps new visitors with general questions about sign types and approach. In the customer portal it can help existing clients request changes and check text proofs. That needs different sources and a different tone, and a clear boundary for questions about specific signs.

Self-service replacement or always a visit

With systems that have interchangeable strips, the client can sometimes replace a text themselves. That saves a visit, but only if the explanation is clear and the strips are supplied. Other systems need a fitter. The assistant can explain per system what is possible, based on what you have approved.

Give price indications or not

Clients want to know what a change costs before requesting it. A general indication per type of change can help, as long as that source is kept current. A firm price for a specific request belongs with the project manager, who sees which signs are involved and whether spare strips exist.

What the AI assistant may answer.

The assistant starts with your explanations of text corrections, checking text proofs and the options per sign system, and passes concrete requests to the project manager. We check its answers together against a client asking how to replace a name strip, and someone who wants to know what it costs to rename an entire department. In the client portal it can later also help submit a change request with the right details.

Can the assistant process a change request directly?

No. It can explain how a request is submitted and collect the details, such as location, current text and new text. The request then goes to the project manager, who checks whether it suits the system and gives a price.

What if the client does not know which sign system they have?

The assistant asks for a photo or description. If it recognises the system from approved examples, it gives the matching explanation. If not, it passes the question to a member of staff with the photo attached.

Does the assistant give advice on accessibility?

Only general explanations you have approved, for example about contrast or raised lettering if you offer it. For advice on a specific building or on requirements that apply to a particular client, it refers to a project manager.

How do we keep the answers up to date?

Each source has an owner in your company. When a procedure changes or a new sign system is added, that owner updates the source. Questions that are often handed over show which explanations are still missing.
