Construction and installation: Operations dashboard for water softener installers
An operations dashboard for water softener installers that shows per unit whether servicing happens on time, where faults pile up and which installations are behind on their interval.
Which figures water softener installers really need.
Water softener installers have hundreds of units under service, each with its own installation date and package. Whether servicing happens on time, the planner knows only roughly. Units not visited for a long time only stand out when the customer calls with a fault. It is also unclear whether faults occur more often with certain unit types, with customers without a package or after a certain number of years. That information is scattered across job cards, the unit register and the calendar. A director who wants to know whether service capacity is sufficient, or which unit to stop selling, has no overview. A dashboard has to make intervals, backlogs and faults per unit visible.

Example- 1
Defining intervals and faults
DoneFirst we set the service interval per package, when a unit counts as overdue and what counts as a fault.
- 2
Linking register and job cards
In progressThe dashboard takes installation date and package from the unit register, visits and faults from job cards and planned appointments from the schedule.
- 3
Recognising patterns
NextThe dashboard shows backlogs by area, faults by unit type and age, and differences between customers with and without a package.
From scattered figures to one overview.
Defining intervals and faults
First we set the service interval per package, when a unit counts as overdue and what counts as a fault. We also agree how causes are recorded, such as valve, resin, salt bridge or user error. Without those agreements the figures cannot be compared.
Linking register and job cards
The dashboard takes installation date and package from the unit register, visits and faults from job cards and planned appointments from the schedule. For each unit you can see when it was last visited and when the next visit is planned. Units with no appointment stand out immediately.
Recognising patterns
The dashboard shows backlogs by area, faults by unit type and age, and differences between customers with and without a package. Drilling down reveals the units and job cards behind them. The planner can adjust capacity and the director can see which unit type needs more service.
Figures from your own work.
Water softener installers keep unit data in a spreadsheet or service system, job cards in an app or on paper and appointments in a calendar. The dashboard reads those sources without replacing them. Each system remains owner of its data. If a unit lacks an installation date or package, the dashboard shows it, so it can be filled in at the register rather than in a separate list.
Backlog by unit or by area
Seeing which units are behind helps the planner act right away. Seeing where backlog piles up by area shows whether capacity is distributed wrongly. Both views are useful; a list of overdue units and an overview by area complement each other well. One feeds the daily planning, the other longer-term staffing.
Showing faults by unit type
Showing faults per unit type can reveal which model needs more service. But differences can also come from age, water hardness or the way it was installed. The dashboard has to show those factors side by side, so conclusions about a brand are not drawn too quickly. It stays a well-founded comparison.
Including customers without a package
Units without a maintenance package are often never visited and drop out of sight. Including them shows how many develop faults and can support actively offering customers a package. It does require those units to be in the register in the first place. Adding them gradually, visit by visit, works fine.

Which figures we put on the dashboard.
Per unit the dashboard shows the last and next visit, backlogs against the interval and faults with their cause, with references to registration, job cards and planning. We check it on an ordinary month and on a period in which a fitter was off for a long time and backlogs grew. A comparison by unit type and age and a list of units without a package can be added on the same data.

Explore pricing and optionsHow do we know if the unit register is complete enough?
The dashboard shows how many units lack an installation date, package or last visit. That immediately gives a picture of register quality. Filling gaps happens at the source, for example at the next service visit, so the register improves step by step.
Can we see whether service capacity is sufficient?
The dashboard shows how many visits fall due in the coming period and how many are planned. If those drift apart, there is a capacity problem. That supports decisions about extra engineers or spreading servicing out.
Does a fault between two service visits count separately?
Yes. Faults are recorded separately from servicing with date and cause. The dashboard can show how many faults occur between visits and whether that relates to the time since the last service or to the unit type.
Who has access to which part of the dashboard?
You set that per role. A planner sees backlogs and scheduling, a director also fault patterns and capacity, an engineer perhaps only his own area. Everyone gets the information that belongs to their work. Access can change as roles change.
What often connects to this.
- Digital job cards for water softener installersDigital job cards for water softener installers that record the connection diagram, unit number and hardness setting, so every future service visit knows exactly what is installed.
- Website for water softener installersA website for water softener installers that explains which softener suits which household and pipework situation, and what maintenance and salt involve afterwards.
- Enquiry form for water softener installersAn enquiry form for water softener installers that collects water use, household size and photos of the water meter and drain, so the right unit and the connection work can be judged in advance.
