Construction and installation: Inventory software for water softener installers
Inventory software for water softener installers that tracks units by serial number, salt by the bag, and valves, bypasses and connection kits, in the warehouse and in every service van.
Where stock drifts for water softener installers.
A water softener installer holds stock in several places: units and salt in the warehouse, connection kits, bypasses, valves and fittings in every van. During a fault visit an engineer takes a replacement valve from the van and forgets to report it. At the next fault the valve turns out to be gone. Units with serial numbers sometimes get linked to the wrong job, making warranty and registration difficult. Salt runs out faster than expected in winter when many customers order at once. Without an overview you order too much or too late. Inventory has to show per location what is there and what is already earmarked for a job.

Items and units by location
Units are booked in by serial number, so each one can be traced to a customer. Salt, connection kits, bypasses, valves and fittings are tracked per piece or pack, per location: the warehouse or a specific van. Each van gets a fixed minimum stock for frequently used parts.
Reserving for each job
For a planned installation the unit with its serial number and the connection kit are reserved. For service rounds salt and an expected quantity of parts are set aside. If something is missing, the planner sees it in advance and can reorder or send another van.
Updating from the job card
Whatever the engineer uses he books out on the job card. The system deducts it from his van stock. If a van drops below its minimum, a top-up list is produced for the next morning. Installed units are linked to the customer's address.
Alongside your purchasing and suppliers.
Water softener installers currently track stock in a spreadsheet or not per van at all. Orders go to the wholesaler or manufacturer by email or an ordering portal. The inventory software uses the article list from the quoting software and adds locations and serial numbers. The wholesaler remains owner of article data and prices. A scanner or phone is enough to register units at receipt and installation.
Fixed van stock or loading daily
Fixed van stock means engineers always carry the common parts, but ties up a lot of material across several vans. Loading daily from the schedule saves stock but leaves no room for unexpected faults. A small fixed base plus a daily top-up per job combines both.
Salt in stock or to order
Holding salt makes quick delivery possible on service visits but needs storage space. Working to order saves space but causes delays in busy periods. An overview of consumption per season helps decide the minimum to keep. If you deliver salt with servicing, orders can be bundled per round to cut down on separate trips.
Serial numbers at receipt or at installation
Registering at receipt makes every unit traceable immediately but takes time with large deliveries. Registering at installation is quicker, but warehouse stock of units is then less precise. Scanning at receipt with a scanner or phone is often quicker than expected and gives a complete picture.

Which stock we record.
Units are tracked by serial number, salt and parts per location, with reservation per job and booking out from the job card. We set up those locations and vans at the start. To try it we replay an ordinary week of installations and maintenance, and a fault where a fitter has to take a valve from another van. Top-up lists per van and order suggestions for the wholesaler later use the same bookings.

Explore pricing and optionsHow do we track van stock without heavy admin?
By booking out from the job card. Whatever the engineer uses, he already notes there for the customer. The system deducts it from his van stock. A quick count per van every so often corrects differences.
Can we see which unit is installed at which customer?
Yes. At installation the serial number is linked to the address. For a fault or warranty claim you see straight away which unit it is, when it was fitted and which delivery it came from. That helps when dealing with the manufacturer.
What do we do with old units taken back?
They can be booked separately with a status, such as for parts, return to the manufacturer or disposal. They do not count as saleable stock. You can see what is in the warehouse and what needs to happen with it.
How do we avoid running out of salt in winter?
The system shows salt consumption per period and warns at a minimum level. Based on last year, stock for busy months can be raised. Customer orders through the portal count in the reservation, so you can see what has already been promised.
