Where invoices stall for water softener installers.

Water softener installers invoice different kinds of work: an installation with unit and connection work, an annual maintenance package, a one-off fault with parts, a salt delivery. Each has a different basis. At installation there can be extras if the drain was further away than expected. During maintenance some parts fall under the package and others do not. For a fault, warranty may apply. The office sets job cards, quotes and package terms side by side, and that goes wrong: parts are invoiced that were covered by the package, or extras are forgotten. Then someone still has to track which customer has paid.

From finished work to paid invoice.

Collect work by type

For an installation, the unit and connection work come from the quote and any extras from the job card, all already in the same software. For maintenance, the package and the parts the fitter noted. For a fault, the hours, parts and whether the unit is under warranty. Salt deliveries come from the orders.

Check package and warranty

The software checks per part whether it falls under the maintenance package or the warranty. Whatever falls outside becomes an invoice line. Doubtful cases, such as a part just outside the warranty period, are flagged for the service coordinator, who decides. That decision is kept.

Send the invoice

After checking, the invoice goes to the customer with the basis per line and a payment link. Packages with a fixed price are prepared together per period for checking. Reminders go out automatically and the unit shows whether it has been paid. Nothing leaves without someone having looked at it.

Invoicing from the same software.

Today water softener installers often invoice with maintenance contracts in a separate spreadsheet and lines copied by hand. In the software, quotes, job cards and the unit register with package and installation date are the source of the invoice. The service coordinator keeps deciding on doubtful warranty cases, and you manage the package terms. Customer details are in one place, so no second administration arises. The bookkeeper looks along or receives an export.

Billing servicing in advance or after the visit

Invoicing maintenance packages in advance, yearly or in instalments, gives predictable income but requires the visit to actually happen. Invoicing after the visit ties payment to work, but gives less predictability. For fixed-price packages, in advance is usual; for one-off visits, afterwards. Both can exist side by side.

Parts inside or outside the package

A package that includes all parts is clear for the customer but more expensive or risky for you. A package with only labour and checks, and parts extra, looks cheaper but raises questions. A clear list of what is and is not included prevents a discussion with every invoice.

Warranty case by case or a fixed rule

Judging each case on whether it falls under warranty is flexible but leads to unequal treatment. A fixed rule based on installation date and type of part is consistent but can feel unreasonable in edge cases. A fixed rule with exceptions allowed by a coordinator combines both.

What we set up for your invoicing.

Set up at the start: installations, maintenance visits, faults and salt deliveries as the source, the check of parts against package and warranty, the invoice with payment link and automatic reminders. We set your warranty terms per unit type. Together we walk through an ordinary month, and a fault on a unit just outside warranty with a part that is covered by the package. A list of open service work is switched on when you need it.

Can maintenance packages be invoiced periodically?

The software prepares the invoices for fixed-price packages at the agreed moment. Someone checks them before they go out with a payment link. That keeps the overview, for example when a customer has moved or cancelled the package, and reminders only go to those who still have to pay.

How does the office know what is under warranty?

Each unit shows its installation date and the warranty terms you have set. The software checks parts against them. Doubtful cases are flagged for a coordinator. So the office does not have to search job cards itself. Earlier decisions can be looked up as well.

Can salt deliveries go on the same invoice as maintenance?

Yes, if they are delivered in the same period or during the same visit. The software can combine lines for the same customer on one invoice. That saves invoices and is clearer for the customer. Delivery costs can then be included in one line.

What if extras at installation were not signed off?

Then the software flags them as unconfirmed extras. The project manager decides whether to put them to the customer after all, invoice them or drop them. That choice is recorded. That way extras are not invoiced unnoticed or forgotten.
