Repairs and specialist services: Digital job cards for watchmakers
Digital job cards for watchmakers in the form of a movement file: intake photos, readings before and after, replaced parts and test results kept together for each watch.
What a job card for watchmakers should hold.
Watchmakers record a lot, but in scattered places. Intake photos sit on a phone, timing machine readings on a scrap of paper, replaced parts in the repair ledger and the water resistance test nowhere at all. When a watch returns under warranty, the watchmaker has to reconstruct what was done. With several people in the workshop, one does not know which gaskets the other already replaced or what anomaly showed up after assembly. And when an owner asks why the watch still deviates a few seconds a day after a service, the reading that shows what falls within the workshop's tolerance is missing.

Open the file at intake
At intake the watchmaker creates a movement file with reference, serial number, complaint and a fixed set of intake photos of case, dial and caseback. Earlier files for the same watch are linked. The file number goes on the bag or drawer, so the watch and its file never get separated.
Measure and record the work
Before stripping, rate and amplitude are measured and noted. During the work the watchmaker records which parts were replaced and anything noteworthy, with a photo where useful. After assembly the same measurement follows, so the difference is visible. Whoever takes over sees exactly where things stand.
Test and close
During the testing period readings in different positions are added, followed by the water resistance test and its result. The watchmaker ticks off the closing check and the file is marked ready. A short summary for the owner can go with the watch, listing the key readings and the warranty terms.
No more paper and loose photos.
Watchmakers use a timing machine, a water resistance tester and often a till system or repair ledger. The equipment stays as it is; readings are copied into the file by hand or, where the machine allows, through an export or a photo of its screen. Customer details stay in the till system and the file refers to them. The repair ledger can stay as a paper backup until the team trusts the file.
Every reading or only deviations
Recording every reading in every position gives a complete picture but takes time. Some watchmakers only note start and finish, plus the positions that deviate. The file supports both, and you decide per movement type which readings are mandatory, so a minor service does not demand the same paperwork as servicing a complicated movement.
Intake photos always or when in doubt
A fixed set of photos at every intake costs a few extra moments but heads off any dispute about scratches or a missing screw. Photographing only when in doubt is quicker, but you cannot know in advance when doubt will arise later. With a fixed setup at the counter it simply becomes routine.
Summary for the owner or not
The owner of a simple quartz watch has little use for timing readings. A collector wants to know exactly what was replaced and how the movement runs now. The summary is optional per file, so you give it to those who value it, and it can still be requested later if the owner changes their mind.

The movement file holds intake, intake photos, readings before and after, replaced parts, test results and the closing check, and belongs to the number on the bag. Checklists per movement type are drawn up together at the start. We follow a full service from start to finish together, and a watch returning under warranty with the same complaint. The owner summary and taking readings straight from the timing machine can be switched on later.

Explore pricing and optionsCan we trace a watch that was serviced years ago?
Yes, by serial number, reference or the owner's name. Every file is kept and links to earlier ones. Old paper records can be added as photos to the first digital file for that watch, so its history stays complete.
What if a watch comes back under warranty?
You open a new file linked to the previous one and immediately see what was replaced and measured last time. That lets you judge whether it is the same problem or something new, such as damage from a fall. You record that judgement in the new file.
Does the watchmaker have to use a screen at the bench?
Not necessarily. Most entries happen at intake and after finishing a step, not during the fine work. A tablet next to the bench or a computer in the workshop is enough. Readings can also be captured by photographing the timing machine's screen.
Can jewellers view the file for their customer?
A jeweller who sends work can be given access to files in their name, with status, proposal and summary. Internal notes and readings can be hidden. That way they can keep their customer informed without phoning all the time.
What often connects to this.
- Quotation software for watchmakersQuotation software for watchmakers that turns the movement assessment, required replacement components and the choice between minor and full service into a price proposal the owner can follow.
- Scheduling software for watchmakersScheduling software for watchmakers that books bench work per watchmaker and counts the testing period after assembly, so a ready date allows for days on the winder and the timing machine.
- Customer portal for watchmakersA customer portal for watchmakers where owners and jewellers approve the price proposal and follow repair progress, from assessment and waiting for parts through to testing and ready.
