Repairs and specialist services: Scheduling software for watchmakers
Scheduling software for watchmakers that books bench work per watchmaker and counts the testing period after assembly, so a ready date allows for days on the winder and the timing machine.
What makes scheduling hard for watchmakers.
Watchmakers do not just schedule working hours. A full service means stripping and cleaning, waiting for parts, reassembly and regulation, and then a testing period in which the watch is followed on the winder or in different positions. That testing takes little handwork but plenty of calendar days. Planning on hours alone produces promises that do not hold. Each watchmaker also has a speciality: one handles complications, another mostly quartz and batteries. When a rush job comes in for a birthday or anniversary, other work slips without anyone seeing which owners now wait longer.

From job to confirmed appointment.
Set work and test time
After approval the watchmaker records which blocks of work are needed and how long the movement is tested afterwards. A chronograph gets more checking than a simple hand-wound movement. Waiting time for ordered parts goes into the sequence too, so the file shows when work can actually take place.
Assign by speciality
The schedule shows each watchmaker's committed hours and which movement types they handle. A complicated service goes to whoever is trained for it; a battery change with test can go to a colleague. A rush job can be slotted in, after which it is clear which other files will now be ready later.
Confirm the ready date
After the final test comes the closing check on rate and water resistance. Only once that is done does the watch get the ready status and the owner a confirmation. If the test disappoints, the file goes back to the bench for regulation and the ready date moves with it, without the whole schedule having to be rebuilt.
Alongside your calendar and your team.
Many watchmakers currently plan in a diary, on a board with bags per drawer or simply in order of arrival in a tray. We keep the physical order if it works and add the digital schedule that shows what sits behind each bag. Waiting time for parts comes from supplier orders. Collection appointments stay in whichever calendar already sends customers reminders.
Fixed test period or per movement
One test period for every watch is easy to plan, but a quartz watch after a battery change needs less than a fully serviced automatic. Setting a test period per movement type makes the schedule more realistic. The watchmaker can still extend it for an individual watch if the first readings disappoint or the rate drifts between positions.
All in house or partly outsourced
Some watchmakers send certain brands or complications to a specialist workshop. That work enters the schedule as a block with an expected return date. You can then see when outsourced work will be done as well, and give the owner an honest estimate instead of a vague promise that depends on someone else's bench.
Allow rush jobs or not
A watch that needs to be ready for a wedding is hard to refuse. Yet every rush job pushes something else back. You can allow rush work for simple jobs, and for full services only when the testing period permits. The schedule shows what it costs in delays elsewhere, so the decision is a deliberate one.

Each watchmaker has work blocks and test periods in the schedule, with waits for parts and a closing check that only releases the watch after testing. How long a watch stays on the winder at minimum is recorded at the start. Before launch we play through a week of ordinary services, and a week in which a watch has to be regulated again after the test. Outsourced work with expected return dates and an overview of the winders can be added when needed.

Explore pricing and optionsCan the owner see that their watch is in the testing period?
Yes, if you choose to show it. The status can say the watch is assembled and being monitored. That explains why it is not ready yet even though the bench work is finished. Many owners prefer that to a vague expected date.
What if an ordered part is a long time coming?
The file stays on waiting for part and the schedule shows which blocks of work shift as a result. You can message the owner with an update. If the part cannot be obtained at all, the file goes back to the proposal for a new decision.
Can we schedule battery changes separately from services?
Yes. Simple jobs such as a battery, strap or quick water resistance test can be planned as a separate kind of work, for example in fixed daily slots. They then stay out of the service schedule and the longer jobs remain easy to follow.
Does scheduling help a watchmaker who works alone?
Especially then it helps to see how many test periods are running at once and when the bench is full. A solo watchmaker can easily promise too much. The schedule shows what realistically fits without turning into heavy admin.
What often connects to this.
- Digital job cards for watchmakersDigital job cards for watchmakers in the form of a movement file: intake photos, readings before and after, replaced parts and test results kept together for each watch.
- Website for watchmakersA website for watchmakers that explains, movement type by movement type, what a full service, a minor service or a single repair involves, so owners understand why their watch has to be opened first.
- Enquiry form for watchmakersAn enquiry form for watchmakers that records the reference number, reported issue and photos of case and dial before the watch arrives, so the assessment can start with a clear focus.
