Repairs and specialist services: Quotation software for watchmakers
Quotation software for watchmakers that turns the movement assessment, required replacement components and the choice between minor and full service into a price proposal the owner can follow.
Where quotes for watchmakers get stuck.
For watchmakers a price proposal only starts once the case is open. Then the mainspring turns out to be fatigued, a wheel worn or the oil so dried out that a minor service makes no sense. The owner gets a phone call full of terms they do not know and has to decide without seeing why. Parts sometimes have to be ordered from the manufacturer or a supplier, with a price and lead time that only become clear later. Then there are cosmetic choices: polish or not, keep the original crystal or replace it. If none of that is written down, someone turns up at collection expecting a different watch back.

Write up the assessment
After opening the case the watchmaker records the findings: amplitude and rate on the timing machine, condition of mainspring, pivots and jewels, state of the gaskets, any moisture or corrosion. Each finding can carry a photo of the movement. Those findings support the proposal and stay in the movement file.
Build service and parts
Based on the assessment the watchmaker chooses between a minor service and a full one, and adds the replacement components: mainspring, crown, gaskets, crystal. Parts that need ordering get a note on expected availability. Choices about polishing or keeping the original finish appear as separate lines in the proposal.
Get the proposal confirmed
The owner receives the price proposal with a plain language explanation and the photos that back it up. They confirm each line they want, including the cosmetic choice. That approval sits in the file with its date. If the price of an ordered part changes, a revised proposal follows rather than a surprise on the bill.
Alongside your calculations and price lists.
Part prices come from supplier catalogues or manufacturer price lists the watchmaker works with. Rates for services are often fixed per movement type. We bring those together in one price list that the proposal draws on. Approval and choices stay in the movement file; the accounting package only receives the final lines on completion. For watches from jewellers, the proposal can go to the jeweller, who passes it on to their customer with their own margin.
Fixed service price or itemised
A fixed price per movement type for a full service gives the owner certainty, with parts added on top. A fully itemised proposal is more transparent but harder to read. Many watchmakers combine the two: a fixed service price per type, with separate lines only for parts that fall outside the standard set, so the owner sees what is unusual about their watch.
Offer a minor service or always overhaul
A minor service is cheaper and sometimes enough, for example on a young watch that only needs new gaskets and a water resistance test. On a movement with dried oil, a service without stripping it down just postpones the problem. The proposal can show both with the trade-off explained, so the owner understands why the watchmaker recommends the full service.
Charge for assessment if declined
Opening and measuring a watch takes time, even if the owner then decides to have nothing done. Some workshops charge an assessment fee in that case, others do not. The proposal states up front which rule applies, so a declined quote does not turn into an awkward conversation. The watch is then closed and returned as it came in.

The proposal holds findings with measurements and photos, the choice between minor and full service, parts with an availability note, cosmetic choices and digital approval. Your price list per movement type is ready at the start. Together we go through an automatic watch where a full service is the obvious route, and a vintage piece that needs a part tracked down. Proposals through jewellers and revised proposals when a part price changes go on whenever you want them.

Explore pricing and optionsCan the owner see the photos of the movement?
Yes, if you want that. A photo of a broken pivot or corrosion makes the proposal easier to grasp than a technical term. You choose per photo whether it is shown with the proposal or kept inside the file.
What if a part is no longer available?
The proposal gets a line setting out the possible routes: sourcing a used part, having one made or returning the watch as it is. The owner chooses, and the choice is recorded in the file. A price for custom work only follows once it is known.
Can we include a warranty on the work in the proposal?
Yes. You decide which warranty terms apply to a minor and a full service, and that text appears in every proposal by default. The warranty is stored with the movement file, so if the watch comes back you can see straight away what was agreed at the time.
How does a proposal work when the customer came via a jeweller?
The proposal goes to the jeweller with your price. The jeweller can pass it on to their customer with their own price and report the approval back. You only see the jeweller's approval; the customer relationship stays with them.
