Design and creative production: AI enquiry assistant for voice-over studios
An AI enquiry assistant for voice-over studios that answers questions about file delivery, formats, separate files and naming from the studio's approved delivery terms.
Which questions voice-over studios keep getting.
After every delivery, voice-over studios get the same kinds of questions. Can you send the file in a different format? Why are there no pauses between the lines? Can I have one file per line instead of one long file? Is this already at the right loudness for broadcast? Those questions land with the studio manager, who answers them between sessions. An agency's video editor working late on a cut wants to know right away whether they may trim the file themselves. Waiting until the next morning pushes their deadline. A wrong answer, say about format or sample rate, means a second delivery.

Delivery terms as the source
The assistant only uses the delivery terms, format agreements and explanations the studio has approved. These set out which formats are possible, how files are named and what may or may not be changed in a recording. The studio manager decides which documents count and keeps them current.
Recognise delivery questions
The assistant recognises whether a question is about format, naming, pauses or editing files. If it is about a specific delivery, a pick-up or the usage of a recording, it knows this is outside its remit. Where needed it asks a short question to understand which kind of file the visitor means.
Explain or pass on
When the delivery terms answer a question, the assistant gives a short answer with a reference to the source. For questions about usage rights, a specific recording or a new delivery it passes the conversation to the studio. The visitor is told that a member of staff will pick it up and when to expect a reply.
On your own information, with a person behind it.
The assistant reads from documents that already exist: delivery terms, an explanation of formats and naming, and any frequently asked questions on the site. Conflicting or outdated versions need tidying up first. Handed-over questions arrive in the inbox or list the studio already uses. The studio owns the sources; conversations are only kept as long as needed to deal with them.
General or job-specific answers
An assistant that only knows the general delivery terms is simple and safe. One that also knows which format was agreed for a particular job is more useful, but then needs access to job details and must say nothing about anyone else's work. We start with general answers and then judge whether job-specific answers are worth it.
On the site or at delivery
An assistant on the website answers people who have not booked yet. An assistant at the point of delivery, for example in the customer portal, answers people who have just received files. At voice-over studios most questions come after delivery, so that is where the assistant makes most sense first.
Allow client edits or not
A frequent question is whether an editor may trim or speed up the recording themselves. The answer depends on the usage agreement and the arrangement with the voice actor. The assistant only gives the general policy the studio has set, and refers anything uncertain to a person, because a wrong answer can affect the rights.

The assistant answers questions about formats, file naming and separate files from your approved delivery terms, and hands everything else to a colleague. Before launch we put ordinary format questions to it, and an editor asking whether they may speed up the recording for a shorter version of the spot. Having it collect job details on a handed-over question is switched on whenever you find that useful.

Explore pricing and optionsCan the assistant resend a file in another format?
No. It can explain which formats are available and how to request a new delivery. The actual redelivery is done by the studio, so there is always a check that the file matches the agreement and the licensed usage.
What does the assistant say about usage rights?
Only the general explanation the studio has approved, such as what usage rights are. Questions about the usage of a specific recording are passed to the studio, because the answer depends on the agreement attached to that recording.
How do we know which questions it could not answer?
Handed-over questions appear in a list with the reason for passing them on. If the same question keeps coming back, that is a sign the delivery terms need adding to. Once updated, the assistant can answer that question itself from then on.
Does the assistant also answer in Dutch?
Yes, provided the delivery terms are also available in Dutch. It answers in the language of the question, but only from the approved source in that language. If a Dutch version is missing, it refers the visitor to a member of staff.
