An AI enquiry assistant for video production companies that answers questions about video formats, aspect ratios, subtitles and delivery from approved information, and refers to the producer when unsure.

Which questions video production companies keep getting.

Video production companies keep getting the same questions about formats. Which format do I need for a screen in our reception? What is the difference between a landscape and a vertical version, and can both come from the same footage? How do I put the video with subtitles on our intranet? Why is the file so large? These questions land with the producer, often after delivery, while they are already busy with the next production. A client who puts the wrong file on a trade show screen or loses the subtitles when uploading only calls once it has gone wrong. A wrong answer about format or aspect ratio means a new export and sometimes extra editing time.

Approved explanations as the source

The assistant only uses information the company has approved: explanations of delivery formats, aspect ratios, subtitle files and posting to commonly used channels. Anything not covered there it does not answer. The producer decides which documents count and updates them when something changes.

Recognise format questions

The assistant recognises whether a question is about aspect ratio, file format, subtitles or posting on a channel. If it concerns a specific production, a new version or costs, it knows that is outside its remit. Where needed it asks where the video will be shown, because that determines the answer.

Explain or refer

When the sources answer a question, the assistant gives a short answer with a reference. For a question about the client's own production, a new version or a problem general guidance cannot solve, it passes the question to the producer. The client is told that a person is looking into it.

On your own information, with a person behind it.

The assistant reads from existing documents: a delivery document listing formats, an explanation of subtitles and any frequently asked questions on the site. Conflicting versions need tidying up first. Referred questions arrive in the inbox or list the producer uses today. The company owns the sources and decides what the assistant may use; conversations are only kept as long as needed.

Help before or after delivery

An assistant on the website helps clients who still have to decide which formats they need. An assistant at delivery, for example in the portal, helps clients who have just received files. At video production companies most format questions come after delivery, but a question answered beforehand can prevent an extra version being needed later.

General or per channel

General explanations of aspect ratios stay valid. Guidance per channel, such as the requirements of a particular social network, changes regularly and has to be maintained. If the company opts for per-channel guidance, someone has to own that information. Otherwise the assistant gives an answer that was once right but no longer is.

Technical or plain language

Some clients have their own video specialist who wants technical answers. Others just want to know which file goes where. The assistant answers in plain language by default and gives technical detail when asked, but only from the approved sources, so a technical answer is as reliable as a simple one.

What the AI assistant may answer.

From your approved sources the assistant answers questions about delivery formats, aspect ratios and subtitles, and the rest goes to a colleague. Before launch we put ordinary format questions to it, and a client asking whether they may make a vertical version of the landscape film themselves. Explanations per channel with a fixed owner and a list of unanswered questions are switched on later.

Can the assistant make a new version of a video?

No. It can explain which formats are possible and how to request a new version. A new version is always made by an editor, because a different aspect ratio involves choices about what stays in the frame.

What does the assistant say about music in the video?

Only the general explanation the company has approved, for example that music is covered by a licence that determines where the video may be shown. Questions about a specific production or licence are referred to the producer, because the answer depends on the agreement.

How do we know the answers are right?

Conversations can be read back, with the source used for each answer. If an answer is wrong, the cause usually lies in the source. Correct it, and the assistant uses the new information for the next question.

Can the assistant answer crew questions too?

It can, if there is a separate set of approved sources for crew, such as working agreements or rules for handing in footage. Those sources are kept apart from what clients see, so internal information never reaches a client.
