Outdoor spaces and grounds: Operations dashboard for tree care companies

An operations dashboard for tree care companies that sets working hours per tree site against the quote, showing where height, access or removal turned out differently than estimated.

Operations dashboard for tree care companies. An operations dashboard that shows deviations and their source. Example with demonstration data.

Which figures tree care companies really need.

Tree care companies know at year end whether things went well, but rarely why. A job estimated at two days took three, and whether that was a narrower passage than expected, waiting for a hired crane or more timber than estimated is not recorded anywhere together. Recurring management sites sometimes overrun every year without anyone seeing the pattern. The result: quotes are adjusted by feel, and the planner does not know which assumptions are consistently too low. Hours sit in the timesheet records, removal on tipping tickets and quotes in yet another system.

Agree definitions

First we agree what counts: crew hours, machine hours, waiting time, removal per load and what qualifies as an overrun. The grouping by cause belongs there too, such as access, weather, equipment or extra work at the customer's request. Without those agreements the dashboard compares apples with oranges.

Bring sources together per site

For each tree site, quote, job cards, hours and tipping tickets come together. The job is the key, so every hour and every load belongs to the right place. Missing data, such as a job card without hours, is shown as a gap rather than as zero.

Investigate overruns by cause

The dashboard shows which sites deviated most and why. Click an overrun and you see the job card with the crew leader's note and photos. The planner can decide whether an assumption in the quote needs changing or whether it was a one-off circumstance.

Figures from your own work.

Data currently lives in a quoting tool, the timesheet records, the job cards and with the equipment rental firm. The dashboard reads from those sources and writes nothing back. Each source keeps its owner: hours with the office, job cards with the planner, quotes with the owner. Where a source can only provide an export, we import it periodically and show when the data was last refreshed.

Analyse per job or per site

Analysis per job shows which assignment overran. Analysis per site shows whether a location consistently takes longer, such as a school with awkward access that comes back every year. For recurring management work the site is the most useful unit; for one-off private jobs it is the job.

Pick a cause or free text

Free text gives the crew leader room but cannot be counted. A fixed list of causes can be counted but misses nuance. The practical answer is a choice from a short list with a free field alongside, so you can count and still read the explanation.

Update daily or monthly

A daily dashboard helps the planner steer while a large removal is still running. A monthly view is enough to adjust quotes. The difference mainly lies in how quickly sources deliver; hours only entered on Friday make a daily picture unreliable. Getting hours in on the day matters more than the dashboard itself.

Which figures we put on the dashboard.

From the start the dashboard sets estimated hours against worked hours per completed job and per recurring site, with overruns grouped by cause and a click-through to the job card. Together we look at an ordinary month and a month where a stormy spell brought lots of emergency work and postponements. Machine use and removal per site, and adjusting the quoting rules based on the figures, can be added later.

Can we see which crew consistently takes longer?

You can, but the dashboard shows cause before it looks at crews. A crew that gets the difficult jobs would otherwise look slow. Comparing by cause shows whether the difference lies with the crew or with the kind of jobs they are given.

What if job cards are incomplete?

Incomplete job cards are shown separately, not dropped and not counted as zero. You see how reliable the picture is and which crew leaders still need to fill in details. Better completion is often the first gain from a dashboard.

Can we share the dashboard with an estate manager?

A separate view for an estate manager is possible, with only their own sites and without internal rates or crew names. That is useful for management contracts where the client wants to know where the hours went. You decide per client what is visible.

How far back can we look?

As far back as the sources hold data that can be linked to a job. Older hours without a job reference are hard to assign. So you often start from the moment job cards went digital and build history from there.
