Outdoor spaces and grounds: Enquiry form for tree care companies
An enquiry form for tree care companies that asks for tree location, photos of the surroundings and access, so the work planner can judge whether a site visit is needed.
What makes an enquiry complete for tree care companies.
An enquiry for tree work often arrives at tree care companies as a phone call or a short email: "big tree in the garden, can you take a look?" The work planner cannot tell whether it is a six-metre birch or a chestnut overhanging a garage. Photos are sent separately, often close up, so the surroundings are missing. Whether a narrow alley leads to the garden, whether power lines run through the crown and whether the neighbours have agreed only comes up at the visit. As a result someone drives out for every enquiry, including work that could have been assessed straight away with the right photos.

From form to assessed enquiry.
Describe the tree and the spot
The form first asks what needs doing and where the tree stands: front garden, back garden, boundary or public pavement. Simple choices for estimated height and trunk thickness follow, with a drawing as a guide. A customer who does not know can say so instead of guessing.
Surroundings photos with guidance
The customer uploads a photo of the whole tree, one of the base of the trunk and one of the route from the street. Each upload says what should be in the frame. The planner immediately sees whether a conservatory, fence, pond or overhead line sits in the drop zone and whether a chipper can get close.
Review and pass the enquiry on
The work planner sees the complete enquiry on one screen and chooses: quote directly, visit first or ask the customer something first. If a photo is missing or ownership of the tree is unclear, a specific question goes back and the enquiry stays visible as waiting.
Enquiries in one place, not the inbox.
Enquiries reach tree surgeons by phone, email, a contact form and sometimes via a landscaper passing work on. The new form does not replace those channels; it gives them one destination. Office staff enter phone enquiries in the same form. Photos and details stay with the company, not a platform. Once an enquiry is approved, it moves on to the quoting tool or planning board you already use.
Short form or detailed questions
A form with just name and phone number brings in plenty of enquiries, but the planner then has to find out everything. A long questionnaire puts people off. The middle ground is a short start with follow-up questions that only appear when they matter, such as asking about the passage only when the tree is in a back garden.
Photos required or optional
Without photos, hardly any tree work can be assessed remotely. Yet not every customer has them to hand, for instance a property manager filing a request from the office. Photos can be required for homeowners and supplied later for business requests, with a reminder if they do not arrive.
Owner or requester as contact
With a rented home or a tree on the boundary, the person asking is not always the one who decides. The form asks who owns the tree and who gives approval, so the quote does not go to the wrong person and no work is booked without the neighbours' consent.

Ready at the start: the form with questions about the tree, the site and photos, an overview for the work planner, and the choice between quote, visit or follow-up question. Together we walk through an ordinary request for a garden tree and an emergency report after a storm, where a branch has landed on a roof. A separate route for landscapers who pass on work, and turning a request into a quote in the same software, can be switched on when it suits you.

Explore pricing and optionsCan a customer report an emergency after a storm?
Yes. The form has a separate option for immediate danger, such as a broken branch above a path or a tree leaning against a wall. That report goes to the top of the office list and only asks for the minimum, so the customer is done quickly and you can call straight back.
What if the customer does not know the species?
That is the rule rather than the exception. So the form does not ask for the species, but for what a photo shows: leaves, bark and the whole crown. An arborist usually recognises the species from those photos, and otherwise it is settled at the visit.
How do we handle trees on a boundary?
The form asks whether the tree is on the customer's land, on the boundary or next door. When in doubt, the enquiry is flagged so the planner first checks who needs to give consent. No climber gets booked for a tree that is still under discussion.
Can landscapers submit requests through this form too?
Yes. A landscaper can be a regular requester with their own details prefilled and the end customer as a second contact. The planner then sees at once that the work has been passed on, and with whom planning and payment are agreed.
