Outdoor spaces and grounds: Inventory software for tree care companies

Inventory software for tree care companies that tracks cutting tools, climbing equipment and consumables per van and per person, including inspection dates and what is actually fit for use.

Inventory software for tree care companies. Inventory that shows present, reserved and usable stock separately. Example with demonstration data.

Where stock drifts for tree care companies.

At tree care companies, equipment is spread across vans, trailers and the workshop. A climber has their own harness and ropes, the van has a set of chainsaws and a spare chain should be in it. Whether it is only becomes clear when a chain snaps on a job far from base. Climbing ropes and harnesses need periodic inspection, but which set was checked when sits in a notebook nobody keeps up. Meanwhile saw chain, bar oil and fuel mix are topped up without anyone knowing how much goes through each week.

Give equipment its own place

Every item with its own service life gets a number: chainsaws, climbing ropes, harnesses, karabiners, rigging lines. Each item shows who or which van it belongs to, when it went into service and when the next check is due. Consumables like chain and oil are counted per van.

Reserve for a job

If a job needs extra kit, such as a second rigging set or a long pole saw, the planner reserves it for the scheduled day. He sees whether the set is already promised to another van for a job that week, and the crew does not have to hunt for it in the morning.

Update inspections and usage

After a check, the responsible person records whether a rope or harness is fine, needs attention or is withdrawn. Withdrawn kit can no longer be reserved. When a van is restocked, the crew notes what was added, so weekly usage becomes visible.

Alongside your purchasing and suppliers.

Equipment is often tracked in a spreadsheet, an inspection logbook or the memory of the workshop lead. Suppliers of cutting tools and climbing gear send delivery notes and invoices to the office. The inventory tool does not keep those accounts, but it does track where each item is and what state it is in. Inspections by an outside party are stored as a document against the item. The workshop lead owns condition; the planner owns reservations.

Manage per person or per van

Personal climbing kit belongs to the climber who wears it; saws and rigging sets belong to the van. Managing everything per van loses sight when a climber changes crew. Managing everything per person hides what a van is missing. Usually a mix works best: personal items with the person, shared items with the van.

Number every item or only costly kit

Numbering a karabiner feels excessive, but small components can also fall under inspection duties. Decide what to register with whoever is responsible for safety. Consumables are counted by unit; anything with a service life and an inspection date gets its own line. It is less work than it sounds, because the list rarely changes.

Restock on schedule or on request

A fixed round on Friday keeps every van stocked, but takes time and misses a shortage that arises on Tuesday. Restocking on request is faster, but depends on the crew actually reporting it. A minimum level per van with an alert below it combines both.

Which stock we record.

Chainsaws, climbing kit and rigging sets go into the list per person or van, with inspection dates, a status of passed, needs attention or withdrawn, and consumables per van. Together we go through an ordinary week and the moment a harness fails inspection while a climber is booked on a job tomorrow. Reserving from the schedule and a minimum stock per van are parts you switch on once the list is complete.

Do we get an alert when an inspection is due?

Yes. Each item carries the date of its next check, and well before then it appears in an overview for the responsible person. The interval is yours to set, based on manufacturer guidance and your own arrangements. The software only tracks what was agreed.

Can climbers view their own kit?

Yes. A climber sees on their phone which items are assigned to them, when each was last checked and when the next check is due. They can report damage with a photo, after which the item is temporarily unavailable until it has been assessed.

Do we track machines like the chipper here as well?

Large machines such as the chipper, stump grinder and cherry picker mainly need maintenance and availability tracking. They can have their own line here with service dates. Scheduling uses the same record, so a machine in for servicing is not booked on a job.

What happens to withdrawn equipment?

Withdrawn kit gets a status that stops it being reserved or assigned. You record why it was withdrawn and what happened to it, for example destroyed or returned to the supplier. No condemned rope stays behind in a van.
