Outdoor spaces and grounds: Customer portal for tree care companies
A customer portal for tree care companies where clients see work agreements, site images and the status of their trees, and can give approval or ask questions themselves.
What customers of tree care companies want to see.
Clients of tree care companies want to know what is happening to their trees, but that information is scattered. A residents' association gets a quote by email, the schedule by phone and photos afterwards through a messaging app. An estate manager with several sites loses track of which trees were pruned last year and which are still on the list. A homeowner mostly wants to know when the crew arrives, whether the car has to move and whether the gate needs to be open. Every one of those questions lands with the work planner, who then searches through emails and folders.

Access per client
Each client sees only their own sites and trees. For a residents' association the board sees everything, while an individual resident reads only what affects their garden. An estate manager with several grounds gets an overview per site, with the trees that were treated or are planned there.
Show agreements and images
Each job shows the accepted quote, the scheduled days, practical arrangements about parking and access, and photos per tree once finished. If a day moves because of weather, the client sees the new date and the reason without anyone having to call.
Link approvals and questions
The client can accept a quote, approve extra work or ask a question about a specific tree. That message arrives with the job, not in a separate inbox. The planner sees straight away which tree it concerns and can reply with a photo or a revised proposal.
Less email, the same records.
Quotes, schedules and photos currently sit across a quoting tool, a calendar, crew phones and inboxes. The portal pulls that information from where it is created and shows it to the client, without copying it into a separate archive. Invoices stay in the accounting package; the portal can show them or link to them. The company decides what each client gets to see.
A portal for everyone or business only
For a homeowner with one pruning job, a portal can be too much; a clear confirmation by message is enough. For estate managers, schools and residents' associations with recurring work, an environment with history is valuable. You can start with business clients and give homeowners just a link per job.
Show all photos or a selection
The crew takes many photos, including shots of decay or damage that can alarm people without explanation. A selection per tree with a short note works better than a full gallery. The planner decides which photos become visible; the rest stay available internally. The client stays informed without needless worry.
Approval in the portal or by email too
An approval in the portal is tied directly to the right version of the proposal. Some clients prefer to keep emailing. The planner then records the email approval against the job, so there is one place showing what was approved, however it came in. That removes doubt about which version applies.

In the client portal, business clients see their sites, open quotes, schedule and photos after completion, with approvals and questions per job. We set that up for you and test it together with a pruning job for a residents' association and a job that storms push back three times. A history per tree, access for individual residents and a simple link for homeowners can be switched on later.

Explore pricing and optionsCan residents of an association see the work too?
Yes, with limited rights. The board or managing agent approves and sees everything; residents see only the schedule and practical arrangements for their part of the grounds. They know when to move the car without seeing quotes and amounts.
Can a client request a new job in the portal?
Yes. From the portal the client starts a request that is already linked to the right site. They pick the tree on the overview or add a new one with a photo. The planner sees at once which earlier treatments that tree has had.
What does a client see when work is postponed?
The client sees the new date and a short reason, such as high wind or a machine that was unavailable. The planner chooses that reason when moving the job, so the client gets no technical detail but does understand why the work did not go ahead.
Is the history kept when a property manager changes?
The history belongs to the site, not the person. When a new manager arrives, the client grants them access and they see the same trees, earlier work and photos. The previous manager loses access as soon as the client says so.
