Outdoor spaces and grounds: Invoicing software for tree care companies
Invoicing software for tree care companies that turns completed tree work, equipment used and timber removal from the job card into an invoice you check first and then send with a payment link.
Where invoices stall for tree care companies.
After a day of tree work, the office at tree care companies has to piece together what can be invoiced. The quote says prune three trees and grind one stump; the crew did a fourth tree at the customer's request and the logs were taken away after all. Hours are on a scrap of paper, the green waste ticket is in the van and the extra work was agreed verbally. For management contracts on a day rate, machine use and removal also have to be accounted for per site. Whatever cannot be traced is either not invoiced or prompts questions from the customer.

Example- 1
Job card as the basis
DoneOnce a job is done, everything is already in the software: trees worked on, hours, equipment used, quantities removed and approved extra work, next to the accepted quote.
- 2
Compare quote and execution
In progressThe office sees line by line where execution differs from the quote: an extra tree, less removal because the customer kept the wood, a stump that was not ground.
- 3
Invoice out with payment link
NextOnce the differences are reviewed, the invoice goes to the customer with lines per job and per tree and a payment link inside.
From finished work to paid invoice.
Job card as the basis
Once a job is done, everything is already in the software: trees worked on, hours, equipment used, quantities removed and approved extra work, next to the accepted quote. Tipping tickets for green waste and timber are added as photos, so they belong to the job.
Compare quote and execution
The office sees line by line where execution differs from the quote: an extra tree, less removal because the customer kept the wood, a stump that was not ground. For each difference, they choose whether to invoice it, net it off or discuss it with the planner first.
Invoice out with payment link
Once the differences are reviewed, the invoice goes to the customer with lines per job and per tree and a payment link inside. If payment does not arrive, a reminder follows automatically. Payment status sits with the job, and if the customer has a question you can pull up the job card with photos.
Invoicing from the same software.
Tree surgeons often create invoices separately in an accounting package and gather the basis from notes and tickets. In this software the invoice comes from the same job as the quote and the job card. Rates for hours and machines come from the same table as the quotes, and disposal costs are recharged from tickets rather than estimates. Your bookkeeper can look along or receive an export with the VAT overview.
Invoice to quote or on actuals
With a fixed price you invoice what was quoted and only record differences for extra work. With actuals, as with day rates for estate managers, the records set the amount. Many tree surgeons use both side by side. You record per job which arrangement applies, and the invoice follows that arrangement.
Per job or a periodic summary invoice
A homeowner gets an invoice per job. An estate manager or council often wants a monthly summary invoice with a breakdown per site or tree. Completed jobs then wait until the agreed moment and go out bundled, with the job cards attached. Every line still traces back to a tree and a day.
Recharge removal or include it
Including removal in the price means carrying the risk of more volume than expected. Recharging it from tipping tickets means those tickets must be attached to the right job. The choice depends on how predictable the work is: often included for single garden trees, per load for large removals.

Read the storyWhat we set up for your invoicing.
At the start we set up your hourly rates, machine rates and removal items, with invoice templates for homeowners and for estate managers, the payment link and the reminder schedule. Before going live we create the invoice together for an ordinary pruning job to quote, and for a job where the customer adds a tree on the day and keeps the timber. Summary invoices for estate managers and assigning tipping tickets to jobs can be switched on once the first month is running.

Explore pricing and optionsDo we have to change accounting package?
No. You create and send invoices in this software, including the payment link and reminders. Your bookkeeper can look along or receive an export of invoices and the VAT overview. At the start we discuss which form works best for your bookkeeping.
How do we make sure extra work is not forgotten?
Extra work the crew records on the job card automatically appears as a difference from the quote. The office can only close a job once every difference has been reviewed. An extra tree or an extra load of removal does not slip through the cracks.
Can the customer see what the invoice is based on?
Yes. Each invoice can be sent with a breakdown of the trees, the work done and, where useful, photos. Clients using the portal see the breakdown there, along with the payment status. This especially helps estate managers who must justify internally what they are paying for.
What if the crew forgets to fill in hours?
A job card without hours cannot be closed and stays visible on the planner's list. The planner asks the crew leader to complete it before the office can continue. No invoice is created from incomplete information.
