Events and rental: Digital job cards for tableware rental companies
Digital job cards for tableware rental companies with a count sheet per crate at dispatch and on return, so quantities, breakage and loss for each order sit on one record.
What a job card for tableware rental companies should hold.
At tableware rental companies every breakage dispute starts with the count. Did a full crate of dinner plates really go out, or was it two short? A paper packing list gets ticked off in the warehouse, but who counted the crate and when is rarely recorded. On return another person counts, often only after washing, and nobody can tell whether a plate was already cracked or broke on the washing line. The customer signs on delivery for a number of crates, not their contents. Without a count sheet that adds up, every breakage line on the invoice comes down to trust.

Count each crate at dispatch
In the warehouse a member of staff counts each crate as it is packed and ticks off on the job card what it contains, with name and time. Part crates, such as half a crate of soup bowls, are noted separately. The card shows per item how many pieces leave the building.
Record the handover
On delivery the customer signs on the driver's phone for the number of crates and racks. If the customer wants to recount, they can do so within an agreed time and report any difference through a link. The driver photographs the stacked crates at the delivery point.
Count returns before washing
On return the warehouse counts what has come back per crate, before washing. Broken pieces are set aside and photographed, missing pieces noted. Breakage that only happens on the washing line gets its own marker, so it is never charged to the customer.
No more paper and loose photos.
Most tableware rental companies print a packing list from the rental system and count with a pen and clipboard. The digital job card uses the same packing list but lets the count happen on a tablet or phone. Scanners for crate labels can be used if you already have them. The warehouse owns the count, the driver owns the handover and the office owns what was agreed with the customer. The completed card flows back to the rental system and invoicing.
Count every crate or spot check
Counting every crate at dispatch and return is watertight but takes a lot of time on busy days. Spot checks are faster but give you less to stand on in a breakage dispute. Many companies always count glassware and expensive crockery and spot check plain plates and cutlery, unless a customer disputes breakage.
Count returns before or after washing
Counting before washing shows what the customer actually returned, but it is dirty, slow work. Counting after washing is quicker but mixes customer breakage with breakage on the line. A quick count of glassware and a visual check of plates before washing is a common compromise.
Customer counts or trusts the card
A customer who counts along on delivery accepts a breakage charge more readily later. But at a party nobody has time to recount crates. A middle way is a short window in which the customer may report a difference, after which the warehouse count stands. That window is printed on the confirmation, so it surprises nobody.

From the start the job card holds the count sheet at dispatch, sign off on delivery, return counts before washing and photos of breakage. Together we walk through an ordinary order that comes back complete, and an order where the customer reports a rack of wine glasses short on delivery. Scanning crate labels, a separate card for linen and a daily overview per counter can be switched on when the time comes.

Explore pricing and optionsDoesn't counting digitally take longer than on paper?
The counting itself takes about as long, but copying paper into the system disappears. Nobody has to hunt afterwards for who counted which crate. On returns it saves most time when there is breakage, because the photo and quantity are attached to the order straight away.
Can the customer report something missing on delivery?
Yes. On delivery the customer receives a link to report a difference within an agreed time, with a photo if possible. That report lands on the job card. After that the warehouse count stands, so there is no debate once the party is over.
How do we keep washing line breakage separate?
Whoever finds breakage on the washing line records it on the job card with its own code. That breakage does not count against the customer. You also see how much breaks in house, which is useful if the machine or the way crates are stacked causes more damage than it should.
Does this work for table linen too?
Yes, with its own count: pieces per size and colour at dispatch, and on return whether the linen came back dry, wet or stained. Stains that will not wash out are photographed. Linen often goes to an outside laundry, so the count lines up with what the laundry sends back.
