Events and rental: Customer portal for tableware rental companies
A customer portal for tableware rental companies where clients see their order summary, delivery and collection times and return instructions, and can change quantities themselves until an agreed cut off.
What customers of tableware rental companies want to see.
Once a tableware order is confirmed, tableware rental companies often still face a stream of questions. Is the number of glasses still right now more guests are coming? What time will the van arrive? Do the plates need rinsing and which crate do the dessert spoons go in? The customer searches for the confirmation email, rings the office or messages the driver. For a caterer with several events a week it becomes impossible to track which order belongs to which address. Return instructions that only live in the terms are rarely read, and it shows in crates of loose cutlery and damp napkins.

From invitation to approval.
Group orders per customer
Customers see their own orders; a caterer sees all their events in a list by date. Each order shows items, quantities, address, delivery window and collection time. Someone ordering on another person's behalf, such as a wedding planner, can be invited without access to other orders.
Change until the cut off
Up to an agreed date, the customer can raise or lower quantities themselves. The portal checks whether extra pieces are available and rounds up to full crates. After the cut off the customer can only submit a request, which the salesperson reviews. Every change stays visible in the order history.
Return instructions at the right moment
On the day of the event the portal shows the return instructions for that order: what may stay dirty, how glasses go into racks, where linen goes and what time the crates must be ready. A short photo guide per item group makes it concrete.
Less email, the same records.
Tableware rental companies currently send confirmations and return rules by email from the rental system, with the terms attached. The portal shows the same order data from the rental system, but current and per order. Changes the customer makes flow back into the rental system. The rental company owns availability and return rules; the customer owns their quantities until the cut off. Invoices can appear in the portal with their payment status, from the same software or read in from the accounting package.
Self service or through sales
Letting customers change quantities themselves saves phone calls but needs a firm cut off and reliable stock figures. Routing everything through sales keeps control with you but costs time in busy weeks. Self service until a few days before the event, then requests only, is a common arrangement.
Instructions per item or general
General return instructions are quick to write but often skipped. Instructions per item group, such as glassware, cutlery and linen, are more specific and better followed. The portal can show only the instructions that match the items hired, so customers never read about things they do not have.
Portal for all or regulars only
A private customer hiring once is well served by a personal link to their order. A caterer or venue ordering weekly gains more from an account with all their events, past orders and invoices. The portal supports both, and a private customer who keeps coming back can later be given an account with their earlier orders in it.

In the portal customers see their orders, make their own changes until the cut off with an availability check, and find return instructions per item group. Before it goes live we try a private customer together who reports twenty extra guests a week before the party, and a caterer with three events in one weekend. Invoices in the portal and invitations for wedding planners can be switched on afterwards.

Explore pricing and optionsCan the customer add items they did not order before?
Yes, until the cut off. The portal shows the items belonging to their collection and checks whether they are free on that date. A new item is rounded up to full crates and added to the same delivery. The salesperson sees the change in their overview.
What if a customer wants to add items after the cut off?
They submit a request through the portal. The salesperson checks whether the extra pieces exist and can still go on the delivery. If so, the order is updated and the customer sees it in the portal. The request stays with the order instead of in a stray email.
Does the customer see the delivery window in the portal?
Yes. The agreed delivery window and collection time are shown for each order. If the schedule changes, the portal updates and the customer gets a message. On the day itself the portal can show that the van is on its way, if you want to share that.
Does the portal really help with untidy returns?
It helps, but it does not solve the problem entirely. Customers get return instructions when they need them, with photos instead of a paragraph in the terms. That makes it easier to do it right. If someone still returns things carelessly, you can point out that the instructions were clearly shown.
