Construction and installation: Inventory software for sun-shading installers

Inventory software for sun-shading installers that tracks motors, remotes, sensors and mounting brackets, kept separate from units supplied made to measure for each job.

Inventory software for sun-shading installers. Inventory that shows present, reserved and usable stock separately. Example with demonstration data.

Where stock drifts for sun-shading installers.

Sun-shading installers usually order units made to measure, but around those deliveries sits a stock of their own: motors for repairs, remotes, wind sensors, brackets for different wall types, spacers, fixings, cables and spare fabric. Some of it is in the warehouse and some in fitters' vans. A fitter arrives at a service call without quite the right motor. Brackets for timber cladding have run out just as an installation is booked. Nobody knows exactly what is in the vans, so items are ordered twice or forgotten altogether.

Example
  1. 1

    Record items by location

    Done

Each item is registered with type, supplier and, for motors, the model and control system.

  2. 2

    Reserve for installation and service

    In progress

When an installation is booked, the system reserves the brackets, spacers and cabling required and lists what the fitter should take.

  3. 3

    Process usage and returns

    Next

The fitter reports on the job card what was used and what is coming back, such as a faulty motor for warranty.

From receipt to use.

Record items by location

Each item is registered with type, supplier and, for motors, the model and control system. Stock is tracked by location: the warehouse and each van separately. Made-to-measure units that arrive for a job are held apart and linked to that job, so they never count as free stock.

Reserve for installation and service

When an installation is booked, the system reserves the brackets, spacers and cabling required and lists what the fitter should take. For a service call with a known motor type, a replacement motor is reserved. The office spots any shortage before the fitter sets off.

Process usage and returns

The fitter reports on the job card what was used and what is coming back, such as a faulty motor for warranty. The warehouse books returns and tracks which motors go back to the supplier. Van stock is counted periodically and topped up to a fixed baseline.

Alongside your purchasing and suppliers.

Sun-shading companies often keep no stock records at all, or a spreadsheet, while suppliers deliver per order through their portal. The inventory module focuses on what you hold yourselves and links made-to-measure units to their job without counting them as stock. Purchase orders for loose parts can come over from the ordering portal or accounting software. The warehouse manager owns stock levels, fitters own what they use, and the office owns warranty returns.

Track van stock or not

Tracking van stock takes discipline from fitters, but stops anyone turning up at a customer without the right parts. A fixed baseline per van, topped up weekly, is a simple middle ground: you only count what has gone out, not everything that happens to be in there.

Stock motors or order per fault

Keeping a few common motor types in stock allows quick repairs, but ties up money, and motors go out of date when suppliers change models. Ordering per fault is cheaper, but the customer waits longer. The pattern of service calls by motor type helps decide which ones to keep on the shelf.

Wall-specific or universal brackets

Universal brackets are easy to stock, but do not suit every wall. Specific brackets for timber cladding, cavity walls or gutters mean more items, but avoid improvising on site. The survey can indicate which type is needed, so the reservation is right and the fitter loads the correct brackets.

Which stock we record.

For stock we set up your items with a location per warehouse and per van, reservations from installations and service calls, usage via the job card and a record of warranty returns. Together we replay an ordinary week of installations and a service call where an older motor type has to be replaced and is not on the shelf. Reorder prompts and a fixed top-up per van come in once your minimum levels are known.

Can we see made-to-measure units separately from stock?

Yes. A unit that arrives for a specific job is linked to it and does not count as free stock. The warehouse can still see it is there and which installation it is for. That way an awning never gets fitted at the wrong customer by mistake.

How do we track warranty motors going back to the supplier?

A faulty motor is logged as a return on the job card with the address and motor type. The warehouse sees which motors are waiting to go back and when they were shipped. When a replacement motor or credit note arrives from the supplier, it is linked to the return.

Do fitters have to scan everything they use?

Not necessarily. For small parts such as fixings, a fixed van top-up is enough. Motors, sensors and remotes are recorded individually, because they are expensive and often end up at a specific address. That keeps the extra work for fitters to a minimum.

Can we keep track of old fabric and offcuts?

Yes, if you want to. Fabric offcuts can be logged with code and size, for small repairs or recovering an awning. Whether it is worth it depends on how often you actually use them; otherwise the recording costs more than it saves.
