Construction and installation: Customer portal for sun-shading installers

A customer portal for sun-shading installers where customers find their fabric choice, quote, installation appointment and control instructions, so fewer calls come in about status and details.

Customer portal for sun-shading installers. A customer portal with documents, status and a decision point. Example with demonstration data.

What customers of sun-shading installers want to see.

Weeks often pass between survey and installation at sun-shading installers, and in that time the customer calls. Which fabric did I choose again? Has the order gone in? When is the fitter coming? Can I still change the colour? The office looks it up each time in email, the supplier portal and the calendar. After installation come questions about the remote, the wind sensor or the warranty, while the instructions sit on a sheet of paper in a drawer. For an owners' association or a business with several contacts it gets messier still.

From invitation to approval.

Access per job or address

After the quote, the customer gets a page of their own showing the quote, chosen fabrics and specification per opening. For an owners' association or business, several people can be given access with different rights, such as a board member who can approve and residents who can only view.

Show status and appointments

The portal shows where the job stands: accepted, ordered, expected in, installation booked, installed. The installation date and expected duration appear alongside, with a note on whether someone needs to be home or access to an indoor space is required. If the appointment changes, the customer sees it immediately.

Changes and questions linked back

A customer who wants a different fabric colour can request it as long as the order has not gone in; the portal shows the cut-off. After installation, control instructions, settings and warranty terms are ready to view. Any question or fault report is linked to the right unit.

Less email, the same records.

Sun-shading companies track quotes in a quoting tool or accounting software, orders in the supplier's portal and appointments in a calendar. The customer portal draws the relevant status from those systems but is not where they are managed. Supplier manuals and warranty terms can be added if you are allowed to share them. The customer owns their choices and approval; you own the specification, the schedule and the record of what was installed.

Fabric samples on screen or in hand

Photos of fabric samples in the portal help customers remember their choice, but do not reproduce colours reliably. The real choice is made with physical samples. The portal therefore shows the chosen fabric code and name with a photo as a reminder, and states that the sample the adviser showed is what counts.

Changes in the portal or via the office

Letting customers make changes themselves saves phone calls, but every change affects price or order. A change that comes in as a request and is confirmed by the office keeps that control. Once the order has been placed, the portal locks changes and points the customer to the office.

Homeowners only or associations too

For homeowners, one login per job is enough. For an owners' association or commercial building with many openings, an overview per facade or per flat is useful, with different rights. It takes more setting up, but saves the office from handling dozens of residents one by one.

What customers find in the portal.

Each order gets a customer page with quote, fabric choice, status and installation appointment, and after installation the control instructions and warranty terms. Who gets access and what each role may do is agreed with you at the start. As a trial we take a homeowner's screen order and an owners' association where the board approves and residents choose their own fabric colour per flat. Fault reports per unit, status notifications and a per-facade view for larger buildings can be switched on later.

Can customers rearrange their installation appointment?

They can submit a request with a preferred alternative day. The planner reviews it, because an installation is often tied to a platform booking or other jobs nearby. Once confirmed, the new date appears in the portal and the customer is notified.

Do customers see when the supplier delivers?

They see a general status such as ordered and expected in, not the supplier's internal dates. Once the goods are in and the installation is booked, the date appears. That avoids calls about a shift of a few days that makes no practical difference.

Can we share supplier manuals?

If the supplier permits it, manuals per motor type or control can be attached to the unit they belong to. You can also add your own short guides, for example on pairing an extra remote. That cuts down questions after installation.

How long does a customer keep access to the portal?

That is up to you. It makes sense to keep the details of an installed unit available for as long as the warranty runs or the customer uses your service. A customer reporting a fault years later can then find their unit, motor type and settings straight away.
