Manufacturing and processing: Quotation software for stone fabricators

Quotation software for stone fabricators that puts slab yield, edge work, cut-outs and installation into one calculation, with the assumptions visible to the customer who signs.

Quotation software for stone fabricators. A quotation that brings assumptions, calculation and approval together. Example with demonstration data.

Where quotes for stone fabricators get stuck.

Stone fabricators often price by the square metre while the real cost sits in the slab. A worktop with one long run and a short island may fall just short of fitting on one slab, and then you pay for a whole second slab or hunt for an offcut whose pattern matches. On top of that come hours of edge polishing, routing cut-outs and bonding joins, which vary widely between jobs. In a spreadsheet those items live on different tabs and the quote is assembled from memory. Once it is accepted, nobody remembers which slab was in mind, and that becomes a problem the moment the workshop starts cutting.

    Link pieces to slabs

    Done

Sales enters each piece with its size, thickness and visible edges, then chooses which slab or slabs it will be cut from, with a simple layout showing how much of the slab is left.

    Price the work per piece

    In progress

Edge profiles are priced per linear metre, cut-outs per item and type, and polishing of exposed faces separately.

The proposal names the material, finish, thickness and the chosen slab or slab type, along with its assumptions: dimensions subject to survey, veining as discussed.

Link pieces to slabs

Sales enters each piece with its size, thickness and visible edges, then chooses which slab or slabs it will be cut from, with a simple layout showing how much of the slab is left. A usable offcut can be chosen as the source, provided its pattern and thickness match the other pieces.

Price the work per piece

Edge profiles are priced per linear metre, cut-outs per item and type, and polishing of exposed faces separately. Installation, delivery and fitting an upstand are added as their own lines. The system does the arithmetic, but sales sees every line and can adjust one, with a reason that is kept.

Fix the proposal and slab

The proposal names the material, finish, thickness and the chosen slab or slab type, along with its assumptions: dimensions subject to survey, veining as discussed. On acceptance that version is locked. If something changes after the survey, a new version shows the difference instead of overwriting the figure.

Alongside your calculations and price lists.

Most stone fabricators currently quote from a spreadsheet or the quoting module of their accounting package, with slab prices arriving by email from suppliers. The calculation draws on a rate list you maintain yourselves: materials by thickness, edge profiles, cut-outs and installation. Slab prices belong to purchasing and are only updated by people allowed to. The accepted proposal goes to the workshop as the basis for production and later to invoicing, so the same lines are never typed in twice.

Pricing by area or by slab

Pricing by the square metre is easy to explain but does not cover the waste when a job leaves half a slab unused. Pricing by the slab is fairer to the workshop but harder to justify for a small windowsill. Many firms combine them: per slab for worktops, per metre for small pieces cut from offcuts.

Offer an offcut or a new slab

An offcut from the yard can make a windowsill much cheaper, but its pattern may differ from the worktop beside it. The quote can show both options, with a clear note about colour and pattern variation. The customer then chooses knowingly, and the workshop does not have to explain the difference afterwards.

Survey first or quote with conditions

Surveying first gives an exact quote but costs a visit for a customer who may still be comparing. A quote on supplied dimensions is quicker but must state plainly that the price can change after the survey. The proposal shows which route was taken, so a later difference does not come as a surprise.

What we prepare in the quotes.

From the start, worktops and window sills are priced with slab choice, edge profiles, cut-outs, polishing and installation, and the customer's approval is recorded per version. Before going live, we go through a top that comes exactly from one slab together, and an island that needs a second slab. Offcuts as a source, variants in one quote and passing the accepted version to the slab layout in the workshop you add once you are ready.

Can the quote show how the pieces sit on the slab?

A simple layout sketch can go into the proposal, especially when the veining needs to run across several pieces. It is indicative, not a production drawing. The workshop prepares the final slab layout after the survey, and it only becomes binding once the customer has approved it.

How do we handle price changes from our slab suppliers?

Slab prices live in their own list with a date against each. Purchasing updates them and new quotes use the current price. Open proposals keep their original calculation, so a customer never sees the figure change unexpectedly. When a quote is extended, sales can choose to recalculate.

Can we quote a kitchen using several different stones?

Yes. Each piece gets its own material, slab and processing, and the proposal groups them by material. A customer can combine a dark island with a light worktop and see what each part costs. The workshop can later see straight away which slabs are needed.

What happens when the survey differs from the quote?

Sales creates a new version based on the measured dimensions. Each line shows the difference from the accepted version and the reason for it. The customer approves the new version before anything is cut, and both versions are kept on file.
