Outdoor spaces and grounds: Inventory software for sports ground contractors
Inventory software for sports ground contractors that tracks grass seed, top dressing, infill and machine parts per location, with reservations for scheduled treatments and parts available for repairs.
Where stock drifts for sports ground contractors.
Sports ground contractors hold stock that is seasonal and spread out. Grass seed is used in large quantities in spring and late summer and cannot be kept indefinitely. Sand and top dressing sit in bulk at the yard or on a sports park itself. Then there are machine parts: blades for the scarifier, tines for the aerator and brushes for the artificial turf groomer. If a tine snaps at a site and the spare turns out not to be in stock, a machine stands idle in the busiest season. At the same time, seed sometimes gets ordered twice because nobody knew there were still pallets in the shed.

Record stock per storage point
Each item has a location: the yard, a container on a sports park or a crew's trailer. Grass seed is recorded with mix and batch, so it is clear which should be used first. Machine parts are linked to the type of machine they belong to, so the mechanic finds them without guessing.
Reserve for scheduled treatments
A scheduled overseeding round automatically reserves the seed it needs, based on area and sowing rate. The stock keeper then sees what is genuinely free. If there is too little for the coming weeks, a warning appears before the crew sets off, not when they are already standing on the pitch.
Update usage and repairs
After the treatment, the job card deducts the material actually used. A replaced part is booked out and linked to the machine, so it becomes clear which parts break often. Leftovers on a trailer are put back against the right location when the crew returns.
Alongside your purchasing and suppliers.
Stock is currently tracked in a spreadsheet, a notebook in the workshop or the stock keeper's memory. Orders go by email to suppliers of seed, sand and parts. The inventory module takes over the current list, links to scheduling for reservations and to job cards for usage. The stock keeper remains the owner of stock, the mechanic of parts per machine. Purchase invoices stay in the accounting package.
Bulk at the yard or on site
Storing sand and seed at a sports park saves transport, but makes it harder to see what is there. A central store gives oversight but costs extra trips. Many contractors combine a central store with temporary stock at large sites during the renovation period, and count it afterwards.
Parts in stock or ordered on failure
Parts that break often, such as blades and tines, are better kept in stock, especially in the busy season. Expensive parts that are rarely replaced need not sit on the shelf if the supplier delivers quickly. A replacement history per machine helps you make that call with evidence rather than gut feeling.
Track batches or just totals
Recording which batch of grass seed went on which pitch helps when a client asks which mix was sown or when a batch germinates poorly. It does take discipline at entry. Tracking only totals is simpler, but tells you less afterwards. Starting with batches for seed alone is a reasonable compromise.

Stock per location, reservations from scheduling and deductions through the job card make up the start. Together we go through an ordinary week in the overseeding season and a week in which an aerator breaks down with a snapped tine while the spare sits at another site. We watch closely whether the mechanic quickly sees where the part is and who can collect it. Reorder suggestions and a parts history per machine can be switched on later.

Explore pricing and optionsCan we see which grass seed was used on which pitch?
If the job card records the mix and batch, yes. Each pitch then shows which batch was sown. That helps with client questions or when a batch comes up poorly, because you can see which other pitches received the same seed.
How do we count bulk material such as sand?
Bulk is usually recorded in tonnes or cubic metres on delivery and deducted based on the job card. Because an estimate is never exact, a periodic count on site is sensible. The difference is then recorded as a correction, so the overview stays reliable.
Can machine parts belong to a specific machine?
Yes. Each part is linked to the machine type and can be assigned to a specific machine when fitted. The mechanic then sees which machine often needs parts and which stock is needed for machines due back in service soon.
What about stock on crew trailers?
The trailer is treated as a location of its own. What the crew takes moves from the yard to the trailer, and what comes back moves back again. That keeps it clear where the seed bags or spare brushes are, even when a crew is out for several days.
