Outdoor spaces and grounds: Digital job cards for sports ground contractors
Digital job cards for sports ground contractors that record per pitch which treatment was done, with which machine and in what conditions, so the pitch record matches what happened outside.
What a job card for sports ground contractors should hold.
After a day of scarifying or top dressing, the information is scattered: the operator knows how much sand went on the main pitch, the foreman has a few photos on his phone and the paper job sheet only says site and date. When a grounds manager asks when the training pitch was last overseeded, nobody can find it quickly. Harder still is work that stops halfway: a round abandoned because of rain, a goalmouth too wet to work or a pitch where the club was still training. Sports ground contractors then need a record that shows per pitch what was and was not done.

Prepare a card per pitch
Every scheduled treatment has a card ready with the site, the pitch, the treatment, the machine and the intended amount of material, such as sand per square metre. The operator also sees particulars like a broken gate or an irrigation chamber that needs marking before the machine goes over it.
Record the work and conditions
During the work, the operator records the actual amount of material, the aeration depth where relevant and photos of anything notable. He notes the pitch condition, for example compaction around the centre spot or loose seams on artificial turf. If a round is cut short, he records which part is still outstanding.
Check and hand over
At the end of the day, the foreman or works planner sees which cards are complete. An unfinished round goes back to scheduling, a notable observation to the grounds manager. The completed card becomes part of the pitch record, so the history of each pitch can be read back later.
No more paper and loose photos.
The card works on the phone or tablet operators already carry. Pitch and treatment details come from the schedule, material use goes to stock and approved cards to invoicing. If machines keep their own log of running hours or working width, that can be read in as a supplement. The operator owns the record of the work, the works planner owns approval and the pitch record. The client only sees what concerns them.
Detailed record or simple tick box
A simple card with tick boxes is filled in faster, but says little afterwards about how much sand or seed was really used. A detailed card takes more time on the pitch. It works best to ask only for what is needed later for invoicing, stock or pitch history, and leave the rest optional.
Photos every time or only for exceptions
Photos of every pitch after every treatment build a strong archive, but also thousands of images nobody looks at. Photos only for exceptions, such as damage to goals or standing water after aeration, keep things manageable. For renovations, a before and after can still be useful as a standard.
Operator or foreman fills in the card
When the operator fills it in, the information is direct and precise. He does need time and a screen that works, including with gloves on in the cold. A foreman completing it for the whole crew is more efficient but misses detail. The choice often depends on how independently the crews work.

Each job card belongs to one pitch, with recording of material, condition and photos and a flag for rounds that were cut short. We set that up and test it together with the grounds manager: an ordinary day on which three pitches are top dressed, and a day on which the round stops halfway because of a thunderstorm. A pitch record the client can view and machine logs per round can be switched on later.

Explore pricing and optionsDoes the card work offline at a sports park with no signal?
Yes, the card is stored on the device and sent as soon as there is a connection again. On large sports parks with poor coverage that matters. The operator keeps working and the foreman sees the card appear once it syncs.
What happens to material that was not used?
The operator records how much was used. The difference from what was loaded goes back to stock as a remainder. The stock keeper then knows there are still bags of grass seed on the trailer, and they do not get ordered twice.
Can we show the pitch history to a council?
Yes, if you want to. Completed cards build a history per pitch of treatments, material and observations. It can be shared as a report or viewed through a customer portal. You decide which pitches and which details the client sees.
How do we record damage we find on the pitch?
With a photo and a short description on the card, separate from the treatment itself. A broken goal net fixing or vandalism on artificial turf becomes a report for the works planner. They decide whether to pass it to the site manager or offer the repair as extra work.
