Outdoor spaces and grounds: Customer portal for sports ground contractors
A customer portal for sports ground contractors where clubs and councils can view maintenance reports, pitch agreements and scheduled treatments per site, and confirm decisions themselves.
What customers of sports ground contractors want to see.
A council grounds manager responsible for several sports parks wants to know what has been done to his pitches this month and what is still planned. A football club treasurer wants the maintenance report for the annual meeting. At sports ground contractors those questions arrive by email and are answered with a loose PDF or a forwarded schedule. Agreements about which pitches cannot be used when are buried in an email thread nobody can find. And approval for an extra overseeding round is given over the phone by someone who later says he was not authorised to decide.

From invitation to approval.
Set up access per site
Each client gets access to their own sites and pitches. Within a council, a grounds manager can see every park, while a club only sees its own ground. For each person, you record whether they can only read or may also approve extra work, so decisions come from the right place.
Show reports and schedule
The portal shows, per pitch, the treatments carried out, the measured condition and photos taken of anything unusual. Alongside sits the upcoming schedule, including rest periods after treatments. The client can download a seasonal maintenance report without having to ask for it.
Record approvals and responses
A proposal for an extra round or a changed date appears as a decision point with an explanation. The authorised person approves or asks a question, and that is recorded with name and date. The planner sees the response straight away instead of waiting for a call back.
Less email, the same records.
The portal reads from what already exists: the schedule, completed job cards and maintenance contracts. No separate report needs to be produced; the portal shows the data as the works planner approved it. Approvals flow back into scheduling and any extra costs into invoicing. You remain the owner of the data and decide what is visible. The client manages their own contacts and indicates who is allowed to decide.
Show everything or a selection
Showing clients everything, including internal notes and every photo, can prompt questions about details that are routine for you. A selection of approved reports and observations is clearer. The client must still be able to trust that problems are not left out, or the portal loses its value.
Portal or periodic report by email
Some clients do not want to log in and prefer a monthly summary. A portal gives more current information, but only if someone looks at it. A combination often works: the portal as the source, plus an email with a summary and a link to the details.
Approval in the portal or in writing
Approval in the portal is quick and recorded with name and date. Some councils require a formal order for extra work through their own purchasing system. The portal can then show the proposal and track its status, while the actual order runs through the council so neither record contradicts the other.

In the client portal, clients get access per site, an overview of completed and scheduled treatments and a button to approve extra work. We test together with a club requesting its seasonal report and with a council where two grounds managers run different parks and one of them is on holiday. A periodic email summary and shared pitch agreements are added as clients ask for them.

Explore pricing and optionsCan clubs add their matches to the portal themselves?
They can if you want them to. A club then enters the blocked days for its pitches and the planner sees them immediately. It is sensible to agree who at the club may do that, so the calendar is not overwritten by different volunteers.
Does the client also see postponed treatments?
Yes, with the reason. A treatment moved because of wet ground or a rearranged match is shown with its new date once known. That heads off the question of why nothing has happened yet, and shows the work has not been forgotten.
Can we record different agreements per pitch?
Yes. Each pitch can carry its own agreements, such as a main pitch that may never be worked at weekends or a training pitch with different rules. Those agreements are visible to the client and to the planner, so both start from the same understanding.
How does the portal cope with changing committee members?
The client manages its own contacts. When a treasurer steps down, another committee member can remove their access and invite a successor. You do not have to track that yourselves, but you can always see who has access.
