Outdoor spaces and grounds: Invoicing software for sports ground contractors
Invoicing software for sports ground contractors that brings treated pitches, contract rounds and extra work from job cards together into an invoice per client, with a payment link.
Where invoices stall for sports ground contractors.
Invoices at sports ground contractors usually have two parts: a fixed amount for the maintenance contract and separate items for extra work, such as an additional aeration round or repairs after a tournament. At month end, someone in the office works out which extra rounds were done, for which pitch and whether the client approved them. Cards go missing, treatments are logged against the wrong site and a council sends the invoice back because the order number is wrong. Meanwhile a contract round that was rained off may still have been billed. Untangling it takes days of checking.

Collect work per client
For each period, all approved job cards are in the software, sorted by client, site and pitch. Contract work sits apart from extra work. Extra work carries the client's approval, from the portal or from a recorded agreement, so you can see where it is missing.
Review the differences
The overview shows the gaps: a contract round not carried out, an extra round without approval, or a pitch that received more material than budgeted. The office reviews them and decides whether to invoice, offset or check with the client first. The reason is stored against the line.
Send the invoice per client
Once approved, the invoice goes out with a description per pitch, the client's order number, a reference to the job cards and a payment link. Reminders go automatically and payment status is visible per client. Each line shows which pitch and which date it concerns.
Invoicing from the same software.
Job cards, contract terms and invoices sit in the same software here. Order numbers and invoicing requirements per client, such as mandatory references for councils, are stored with that client. The office owns the invoice, the works planner the approval of the job card. Receivables and payments are followed through the payment status, and your bookkeeper can look along or receive an export with the VAT overview. Nobody retypes a line.
Monthly or per completed job
Contract work is usually invoiced monthly or quarterly, while a renovation is billed on completion. Extra rounds can be added to the contract invoice or billed separately. Separate invoices are clearer for the client, but mean more invoices that all need approving on their side.
Credit missed rounds or not
If a contract specifies a number of rounds and one was lost to the weather, you have to choose: catch up, credit it or let it lapse. That choice belongs in the contract. For each missed round you then see what should happen under the agreement, before the invoice is made.
Material separate or included
Seed and sand can be included in the price per treatment or listed separately on the invoice. Listing them separately is more transparent when sowing rates vary a lot, but needs accurate recording on the card. Including them is simpler, but you carry the risk if more was needed.

Contracts with their rounds, invoicing requirements and order numbers per client, the payment link and the reminder schedule are set up for you at the start. Together we create the invoices for an ordinary month for a council with several parks, and for a month in which two contract rounds were lost to frost. In that second month we check how lapsed rounds are handled under the contract and whether the council can approve the invoice without questions.

Explore pricing and optionsCan we carry council order numbers through automatically?
Yes, if the order number is recorded with the job or contract. It then appears on the invoice by itself. If it is missing, that line waits until someone fills it in, so the invoice is not sent back.
How do we know extra work was approved?
Extra work needs an approval, from the portal, a recorded email or an order confirmation. If that is missing, the line appears as an exception in the overview. The office can then request the approval before the invoice goes out.
Can we invoice per pitch rather than per site?
Yes, the underlying job cards are per pitch. The invoice can summarise per site or break down per pitch, depending on what the client wants. Some councils want to see per pitch what was done, because costs are split across different budgets.
What happens with a correction after sending?
You make a correction as a credit note or new invoice in the same software. It keeps a record of which card and which line it concerned, so it stays clear why the correction was needed. Nobody has to reconstruct later what went wrong.
