Repairs and specialist services: Inventory software for shoe repair shops
Inventory software for shoe repair shops that tracks sole sheets, heel blocks, heel tips, zips and threads, showing what is already allocated to repairs and what needs reordering.
Where stock drifts for shoe repair shops.
Stock in a shoe repair workshop is awkward to count. Sole sheets are cut into pieces, heel blocks kept in sizes and colours, heel tips by shape, zips by length and colour, threads by weight. A half-used sheet of rubber is neither a whole sheet nor nothing. Only when a repairer has a pair of boots open on the bench does it turn out the zip in the right length and colour has run out. Special materials, such as a leather sole of a particular thickness for dress shoes, are only ordered when someone needs them, and the completion date slips.

Record materials by type
Each material gets a record with type, size, colour and supplier. Sole sheets are tracked as whole sheets and offcuts, heel tips by shape and size, zips by length and colour. The repairer knows what is there without opening every drawer.
Allocate to repairs
When a repair proposal includes a zip or a special sole, the material is linked to the repair ticket. It no longer counts as free. If it is not in stock, it goes on the order list with the pair reference attached, so you can see which pair is waiting on that delivery.
Update what was used
When ticking off the repair, the repairer confirms what was used. For standard work such as heel tips this happens automatically based on the chosen repair. For sole sheets they note whether a sheet was started or finished. Stock stays close to reality without every scrap being counted.
Alongside your purchasing and suppliers.
Shoe repairers order from a few regular suppliers of sole materials, heels and findings, often by phone, email or an ordering website. The inventory software does not replace that but tracks what is on order and for which pair. Products sold at the counter, such as polish, laces and insoles, can stay in the till system. Workshop materials sit alongside with their own records and order list.
Count everything or what runs out
Tracking every nail and scrap of leather costs more than it returns. Zips, heel tips and sole sheets are worth counting, because a shortage there stalls a repair. Start with the materials that cause trouble now and leave glue, nails and consumables out of the count, with just a warning when something is nearly gone.
Zips in stock or ordered per pair
Zips come in many lengths and colours. Keeping everything in stock costs space and money; ordering per pair costs time. Most repairers stock the common lengths in black and brown and order unusual colours or lengths per pair. The software shows per type which route applies, so nobody has to remember it.
Count sheets whole or by area
A sole sheet that yields several soles can be counted per whole sheet or by estimated area. Per sheet is simple but rough, by area precise but fiddly. For most workshops per sheet with a started marker is enough to know when to reorder, without measuring offcuts at the end of every day.

First in are the materials that most often hold up a repair: zips, heel tips, heel blocks and sole sheets, with allocation to repair tickets and an order list carrying the pair reference. That starting stock goes into the software with you at the start. We go through an ordinary week, and a pair of boots that needs a zip in an unusual length to be ordered. Automatic deductions for standard repairs and minimum stock levels based on actual use can be set later.

Explore pricing and optionsDo we have to count all materials first?
No. Start with zips and heel tips, which cause the most trouble. Add the rest when you reorder or open new stock. The records grow with the work and you never have to close the shop for a stocktake.
How do we know which pair is waiting on a delivery?
Every line on the order list shows the pair reference it was ordered for. When the delivery arrives, you see straight away which repairs can continue and can confirm the completion date. No pair sits waiting because nobody knew the zip had come in.
Can we see which materials we use most?
Yes. Because use is updated with every repair, you can see over a period which heel tips, zips and soles go fastest. That helps with purchasing and with deciding what you always want on the shelf.
Do counter sales count as well?
Products sold only at the counter stay in the till system. Materials that are both sold and used, such as insoles, can be deducted in both places so the count stays right. You choose the route for each product.
