Repairs and specialist services: Customer portal for shoe repair shops
A customer portal for shoe repair shops where customers approve their repair proposal, see whether their pair is ready and receive the collection notice, with the pair reference as the key.
What customers of shoe repair shops want to see.
Shoe repairers get the same phone call every day: are my shoes ready yet? Staff have to search the rack or leaf through the ticket book while customers wait at the counter. A repair proposal for a bigger job is discussed in person or approved over the phone, with no way to see later which option was chosen. Meanwhile pairs sit on the collection rack for weeks because the customer never got the message or forgot. For pairs that are posted in, the customer has no view at all of what is happening to their shoes.

From invitation to approval.
Access by pair reference
At intake, or when the proposal is sent, the customer receives a link tied to their pair reference. It shows only their own pair or pairs, with no account needed. Regular customers or businesses with several pairs can get an overview of all their tickets.
Show proposal and status
For each pair the customer sees the stage: received, awaiting approval, in repair, ready for collection. A repair proposal sits alongside with photos and options, approved line by line. The collection notice only appears once the repairer has ticked the pair off and placed it on the collection rack.
Collect or have it posted back
When the pair is ready, the customer sees opening hours and, if you offer it, the option to have the pair posted back. Anyone who sent their pair in chooses a delivery address here. A quick question about collection is asked from the pair itself, so it lands on the right ticket.
Less email, the same records.
Statuses and proposals come from the repair tickets; the portal simply shows them. Customer details for the link and collection notice come from the till system or customer list. If you already send text messages or emails from the till, you can carry on; the portal just supplies the link inside them. Payment happens at the till on collection, or up front for posted pairs through the payment method you already use.
Portal or just a collection notice
For a heel tip done while the customer waits, a portal is unnecessary. For a resole with a completion date, a message when it is ready is often enough. The portal earns its place with repair proposals that need approval and with posted pairs. You can switch it on or off per type of repair.
Reminders for uncollected pairs
A pair left on the rack takes up space and the work is still unpaid. An automatic reminder after a set period helps, but reminding too often becomes irritating. You decide when and how often a reminder goes out, and what it says, so the tone matches the way you talk to customers in the shop.
Show photos of the result or not
A photo of the repaired pair in the portal is a nice touch, especially for posted shoes. It does take an extra step. Many repairers only do it for bigger repairs or pairs being posted back, so the customer sees what they are getting before it ships and can still raise a question.

Through a link tied to the pair reference the customer sees their pair's status, the repair proposal with approval line by line and the collection notice. Which messages go out when is set at the start. Together we look at a customer having a resole, and a customer who posts in boots and wants them sent back. Reminders for uncollected pairs and an overview for business customers with several pairs go on whenever you want them.

Explore pricing and optionsDoes the customer need an account?
No. A link tied to the pair reference is enough to see the status and proposal. Businesses or regulars with many pairs can get an overview, but for a single repair we keep it as simple as possible.
What does the customer see if the pair is not ready yet?
The stage the pair is in and the completion date agreed at intake. If that date moves, the customer sees the new one. They do not need to phone to find out it will take a little longer.
Can we send the collection notice later than the tick-off?
Yes. Sometimes a repairer wants a resole to rest overnight before the pair goes home. You can release the notice manually, and until then the portal shows the pair as in its final stage of work.
Does it work for pairs sent in by post?
Yes, and that is perhaps where it helps most. The customer sees that the pair has arrived, approves the proposal, pays in advance if you ask for that and chooses a delivery address. Everything sits under the same pair reference, from arrival to dispatch.
