What a job card for set builders should hold.
In a set workshop, drawings hang on the wall, lie on the bench and sit in the project manager's email. When the designer changes a dimension, the question is whether the carpenter saw the new version before starting to cut. Set builders know the story of a wall built exactly to drawing, only to the previous drawing. Released drawings only
A job card per element carries only the drawing the project manager has released, with version and date. Older versions no longer appear on the card. If a new version is released while work is under way, the person working on it is notified and can see what has changed.
Log hours and materials
Staff book their hours to the element and trade they are working on, and note materials used where they differ from the estimate. A deviation from the drawing, such as a different joint or extra bracing, is recorded with a reason and a photo, so the project manager can assess it.
Hand the element on
When an element is ready for the next trade, say from carpentry to painting, it is handed over on the job card with any notes. On delivery at the venue the client or their technical manager signs off. For every element you can follow who did what and when.

The digital job card takes elements and estimated hours from the quote, drawings from the folder where the project manager releases them and the schedule from the planning board. The drawing program stays the source of the drawing; the job card only shows what has been released. Hours flow on to job costing and payroll.
Hours per element or per project
Booking hours per project is simple but tells you nothing about where the work went. Hours per element and trade ask a little more discipline from staff but make job costing and better quotes possible. A middle way is booking per element for the large pieces and the rest to a general project code.
Paper drawing or workshop screen
A paper drawing on the bench is handy and can be scribbled on, but goes out of date quickly. A screen or tablet always shows the released version but is less pleasant amid sawdust and paint. Many workshops combine the two: print from the job card with version and date on the print, so it is clear whether it is still current.
Solve deviations or ask first
An experienced carpenter often solves a joint problem on the spot, which saves time. But if the fix changes the weight or the look, the designer needs to know. The job card makes it easy to note a deviation quickly, so the project manager can decide whether the designer should be told.

The job card shows only the version the project manager has released. A new version replaces the old one on the card and everyone working on that element is notified of the change. A printed drawing carries version and date, so an outdated print on the bench stands out.
Doesn't booking hours per element take too long?
It takes a few seconds each time someone switches element. On a phone or a screen by the bench you choose the element and the trade. Anyone who prefers can fill it in at the end of the day. It gives you insight that hours per project never will.
Can the venue's technical manager follow along?
On delivery at the venue, the technical manager can view the job card and sign off the elements that have been installed. Notes such as a change near an escape route or a request for extra securing go on the same card. After the build it is clear what was agreed.
Does this work when we outsource part of the job?
Yes. An outsourced element gets its own job card with the released drawing sent to the supplier and the agreed delivery date. On receipt the workshop checks the element and records any deviations. After that it moves through the rest of the project like any other element.
