An AI enquiry assistant for set builders that answers questions on design revisions, drawing delivery, scheduling and working methods from approved information, and hands doubts to the project manager.

Which questions set builders keep getting.

Set builders field many recurring questions: what format should drawings come in, how long is there between approval and build, what does a revision cost and can the design still change once the workshop has started? Designers and producers often ask outside working hours, while they are busy on their design. Some of this can be answered in general terms. But whether a specific revision is still feasible and what it costs depends on the project, the schedule and the work already done. An assistant that rules on that creates expectations the workshop cannot meet.

Choose the approved information

You decide what information the assistant uses: file delivery guidelines, the general process from design to build, how approval rounds work and what a revision means in general. Questions about feasibility, the cost of a specific change or the schedule of a live project are excluded from independent answers.

Interpret the question

The assistant reads the question and decides whether it concerns general information or a live project. A question about the preferred file format gets the standard answer. A question about raising a wall on a project already in the workshop is recognised as a revision request for the project manager.

Answer or hand over

For general questions the assistant gives the approved answer with a reference to its source. For a revision request it asks for the project, the change wanted and any sketches, and passes it to the project manager, making clear that nothing has been promised about feasibility or cost.

On your own information, with a person behind it.

At set builders the answers usually exist already but are scattered: delivery guidelines in a document, the process described in quotes, and a lot of knowledge in project managers' heads. We bring them together into a source you manage yourselves. Handed over questions reach the right project manager, in the inbox or the project system. You remain the owner of every answer and every commitment on feasibility, scheduling or price.

General only or project status too

An assistant that only answers general questions is simple and safe. One that can also report the status of a live project, such as the next milestone, is more useful but requires the person asking to identify themselves and the schedule to be reliable. Many set builders start general and switch on project status once the schedule is kept up to date.

Take the revision or just refer

An assistant that simply refers a revision request makes the designer tell the story again. One that notes the change and sketches first saves that, as long as it is clear this is a request. The project manager then receives a complete question and can judge more quickly what the change means.

For designers or producers too

Designers mostly ask about file delivery, materials and revisions. Producers ask about schedules, stage payments and costs. The assistant can hold information for both groups, but the boundary sits in a different place: it says nothing concrete about costs to anyone. That boundary is agreed at the start, so every person asking knows what to expect.

What the AI assistant may answer.

The assistant gets approved texts on file delivery, process, approval rounds and revisions, and passes revision requests on live projects to the project manager. Together we ask it about the preferred drawing format, and play a designer asking on a Sunday evening whether a staircase can be widened on a set already in the workshop. Project status for logged in clients can be switched on later.

Can the assistant say what a revision costs?

No. The cost of a revision depends on the project, the work already done and the schedule. The assistant can explain how revisions are generally assessed and invoiced, and records the change as a request for the project manager, who makes a specific proposal.

What if a designer asks whether something is technically possible?

Technical feasibility is bespoke and always a judgement for the workshop. The assistant can give general information on materials and techniques you have approved, but passes a specific construction question to the project manager or structural lead, along with the sketches.

Can we set up the assistant differently per client?

The approved information is the same for everyone, but when a client is logged in the assistant can use information about their own projects, such as the next milestone. Arrangements that apply to one client only can be added as a separate source used just for that client.

How do we know which questions the assistant could not answer?

Every handed over question is stored with its reason: no approved answer, a project specific question or uncertainty. An overview shows which topics come up often. Where it turns out to be a general question, you can add approved information for it.
