Design and creative production: AI enquiry assistant for product design studios
An AI enquiry assistant for product design studios that answers questions about submitting prototypes, file formats, confidentiality and ways of working using approved information, and brings in a designer for substantive questions.
Which questions product design studios keep getting.
Product design studios get plenty of questions that are not about the design itself. Can I send an existing prototype for a redesign? What format should my drawings be in? How does confidentiality work? What happens to my idea if I share it? Roughly how long does an exploration stage take? These questions come by email, phone or the website, often from founders who are still hesitating. A designer answers them between tasks, in slightly different words each time. Sometimes there is a substantive question behind them that deserves a proper conversation, such as whether an idea is technically feasible. That distinction is easily missed when the question is treated as routine.

Compile approved answers
The studio writes answers on ways of working, stages, confidentiality, submitting prototypes and files, and what a client can expect at each stage. Those texts are the assistant's only source. It gives no opinion of its own on feasibility, pricing or technical solutions.
Routine or substantive
The assistant recognises whether a question is about process or about the product itself. "How do I send a prototype" is routine. "Could my idea work with a smaller motor" is substantive. For the first it gives the approved answer; for the second it records the question for a designer.
Hand over with context
For substantive questions, pricing or anything uncertain, the assistant says a designer will be in touch and passes the question on with what is already known: the type of product, the stage the enquirer is at and any attachments. The designer does not have to start from scratch, and the enquirer gets a focused follow-up.
On your own information, with a person behind it.
Questions currently arrive by email, through the contact form and sometimes via the customer portal. The assistant can sit on the website and in the portal. The studio owns the approved texts and updates them when its way of working changes. Forwarded questions land in the task list or inbox the studio already uses. Anything a visitor tells the assistant about their idea is treated as confidential and shared only with the designer who picks up the question. The assistant does not ask for details that ought to be covered by an NDA.
Website only or in the portal too
On the website the assistant helps new visitors with questions about process and submission. In the portal it can help current clients with questions about their own project, such as where a file is or what the next step is. That requires access to project data, limited to the logged-in client's own project.
Invite idea descriptions or discourage them
A visitor who describes their idea gives the designer useful context. But someone without an NDA in place may share more than is wise. The assistant can ask for the type of product and the stage, and advise holding back details until an agreement is signed.
Answer directly or draft for review
For questions about file formats or shipping, the assistant can answer straight away. For questions about confidentiality or ownership, it is wiser for a team member to see the answer first, since the situation can vary per client. The assistant can then prepare a draft that is only sent after review.

The assistant draws on approved texts about working method, stages, delivering files and prototypes and general confidentiality, and passes content and price questions to a colleague with context. Before launch we put a starter to it who asks how confidentiality works, and someone who wants to know whether their idea could use a different material. The assistant in the client portal and answers per trajectory are switched on after that.

Explore pricing and optionsCan the assistant judge whether an idea is feasible?
No. Feasibility needs the judgement of a designer or engineer. The assistant records the question with the context the enquirer gives and passes it on. It gives no estimate, not even a cautious one, so nobody builds on a wrong impression.
What happens to what a visitor says about their idea?
It is shared only with the team member who picks up the question and is not used for anything else. The assistant also advises visitors to hold back sensitive details until there is an NDA. Nobody is nudged into oversharing at first contact.
Can we see which questions come up often?
Yes. The overview shows questions asked, which ones the assistant answered and which were passed on. If a question keeps recurring without a good answer, that is a cue to expand the approved texts or clarify the website.
Does the assistant speak Dutch with local clients?
It can if the approved texts are also available in Dutch. Without a Dutch source, it is wiser to pass Dutch questions straight to a team member, so the assistant does not translate content the studio has not approved.
What often connects to this.
- Enquiry form for product design studiosAn enquiry form for product design studios that asks about product function, users, constraints and the intended manufacturing route, so the first estimate rests on more than an idea.
