Design and creative production: Quotation software for product design studios
Quotation software for product design studios that budgets design stages, decision points and prototype costs separately, so a client can decide at each stage whether to continue.
Where quotes for product design studios get stuck.
A design project is hard to capture in a single figure. During exploration nobody knows how many concepts will be needed, and prototype costs depend on choices made later. Yet clients of product design studios want to know where they stand up front. The studio then either quotes one total full of assumptions, or writes a separate quote for each stage that has to be renegotiated every time. Prototype costs, such as a printed part, a milled housing or a small batch of cast parts, are often forgotten or underestimated. And when a concept falls over during detailing, it is unclear which part of the work needs re-budgeting.

From enquiry to signed quote.
Define stages and decision points
The quote splits the project into stages, each ending in a clear decision: continue, adjust or stop. Every stage lists the work, the number of concepts or iterations and what is delivered. The client sees the whole route but only commits to the next stage.
Budget prototypes separately
Prototypes get their own lines, apart from design hours: the type of prototype, the expected manufacturing method and whether it is made in-house or by an outside maker. The studio uses its own assumptions per type. The client sees that an extra test model is not design work but a concrete expense.
Record approval per stage
The client approves the first stage and sees the next one as an indication. When a stage closes, the next is updated with what is now known and put forward for approval again. If the scope shifts along the way, it shows as a change against the earlier indication.
Alongside your calculations and price lists.
Product design studios often price in a spreadsheet with hourly rates per discipline and a list of prototype suppliers. Quotes are laid out in a word processor and sent by email. We adopt the studio's own assumptions: rates, prototype types and standard terms on intellectual property. The accounting package remains the source for client details and invoicing. Prices from outside prototype makers can be attached to the relevant line, so the origin of each figure stays visible. The studio keeps every version of the quote along with the moment it was accepted.
Fixed price per stage or time and materials
A fixed price per stage gives the client certainty and forces the studio to budget sharply. Time and materials suits exploration, where the size of the job is genuinely unknown. Many studios use a fixed price for well-defined stages such as detailing, and a capped budget for exploration that is only exceeded after discussion.
Prototype costs at cost or with a margin
Passing outside prototype costs on at cost is transparent. A margin covers the time the studio spends managing, checking and redoing work if something goes wrong. The quote can support either approach, as long as the client can see what each line contains. That clarity matters most on larger orders.
Transfer intellectual property or license it
Most clients want to own the design outright. Sometimes a licence is more logical, for example when the studio develops a generic mechanism that could be applied elsewhere. The quote sets out what is transferred and when, often on full payment, so there is no misunderstanding later.

The quote budgets the work in stages with decision points, with prototype costs on their own lines and approval per stage plus an updated indication for the next. Together we budget a straightforward redesign and a new product whose concept is overturned halfway. Attaching supplier prices and passing an approved stage on to planning and invoicing are yours to use once the structure is right.

Explore pricing and optionsCan the client see the whole project while approving per stage?
Yes. The quote shows every stage with an indication, but approval applies only to the next one. The client gets a picture of the whole and keeps the option to steer or stop after each stage. The indication is updated as each stage closes.
How do we deal with a concept that fails halfway through?
You close the current stage with the work done so far and propose an adjusted stage. The quote shows the difference from the original indication. The client sees which work was already valuable and what has to be redone, without the whole quote being rewritten.
Can we attach quotes from prototype makers?
Yes. A supplier's quote can be linked to the matching prototype line, so it is visible where the figure comes from. If the supplier's quote changes, for instance because of a different material, the line can be updated with the new quote attached.
How do we record the transfer of intellectual property?
The quote contains a standard section on ownership that can be adjusted per job. It states what is transferred, such as drawings, models and documentation, and at which moment. That agreement belongs to the accepted version and can be checked later.

- Enquiry form for product design studiosAn enquiry form for product design studios that asks about product function, users, constraints and the intended manufacturing route, so the first estimate rests on more than an idea.
- Digital job cards for product design studiosDigital job cards for product design studios in the form of a prototype card with a change log, so every adjustment made to a prototype finds its way back into the specification and design file.
- Invoicing software for product design studiosInvoicing software for product design studios that puts completed design stages, recharged prototype costs and extra work from the trajectory on a verifiable invoice with a payment link.
