Identify liner and equipment
Every liner roll and every usable offcut gets a line with type, thickness and dimensions. Pumps, filters and UV lamps are recorded by model, and with a serial number once fitted. Small parts like fittings and pipe are tracked per bin or per length, without every piece needing a number.
Reserve for a build
Once a quote is accepted, the work planner reserves liner, filter, pump and pipework for that build. An offcut that is large enough is suggested before a new roll is cut into. What is reserved no longer counts as free for sale over the counter or in the online shop.
Update usage and offcuts
After the build the crew reports what was actually used and what is left. A leftover piece goes back into stock with its dimensions. A fitted pump is linked by serial number to the customer's installation, so warranty and replacement can be traced later.

Those who record offcuts with dimensions actually use them. Those who do not are better off writing them off straight away rather than keeping a pile nobody trusts.
Separate stock for builds and sales
A pump sold in the shop can no longer go to a build. Separate stocks prevent that but make the whole less flexible. One stock with reservations usually works better, provided the online shop and the counter see what has already been promised. That is also the simplest to manage.
Seasonal stock or order on demand
In spring many customers ask for replacement pumps, UV lamps and filter media at the same time. Buying ahead means you can deliver at once but risks leftover stock. An overview of what sold last season and which installations are due for replacement supports a well-founded purchase.

At the start the stock list holds liner rolls and offcuts with dimensions, pumps, filters and UV lamps by model, and reservations per build. After each build you update usage and offcuts, and fitted equipment is attached to the customer's installation. Together we go through an ordinary build and a week when a reserved pump is suddenly needed by another customer with a breakdown. Seasonal purchasing and passing free quantities on to the online shop can be switched on when needed.

Yes, once fitted pumps are linked to installations by model and serial number. If a manufacturer recalls a model or there is a known problem, you see at once which customers are affected. Older installations without records can be filled in step by step.
How do we record liner offcuts?
After the build the crew measures the leftover piece and enters type, thickness and dimensions, optionally with a photo. The piece gets a spot in the shed. On a new build the software suggests a fitting offcut before a fresh roll is cut.
Does the online shop see what is reserved?
The inventory software shows the free quantity next to the total. A pump reserved for a build does not count towards it, so it is not sold to another customer by mistake. The online shop receives only that free quantity, or a daily export if that suits you better.
What do we do with customer returns?
A return comes back into stock with a status: new and unused, to be checked, or faulty. Only new and unused is free for sale or a build. Faulty equipment goes back to the supplier with its serial number, so the warranty process can be traced.
