Outdoor spaces and grounds: AI enquiry assistant for pond builders
An AI enquiry assistant for pond builders that answers questions about filter cleaning and seasonal care with your approved explanations, and hands over to a person for faults or sick fish.
Which questions pond builders keep getting.
After the build, customers of pond builders call with questions that keep coming back. How often should I flush the filter, why is my water green, can the pump go off in winter, when do I replace the UV lamp, what do I do about blanket weed? The answer depends on the filter the customer has, and a generic answer from the internet is often wrong for their system. Other questions are urgent: a pump that stops, a pond losing water or fish gasping at the surface. The office has to answer the easy questions while not missing the urgent ones.

Sources per filter system
The assistant only uses explanations you have approved, per filter type and per season: flushing, cleaning, spring start-up, preparing for winter. When the assistant knows which filter the customer has, for instance through the customer portal, it picks the explanation for that filter.
Recognise and scope the question
The assistant works out whether a question is about routine upkeep or about something going wrong. For upkeep it answers with the matching steps. If the customer mentions a falling water level, a stopped pump or fish behaving oddly, it gives no diagnosis and passes the question on.
Answer or hand over
If the answer is in the sources, the assistant gives it with a link to the manual or explainer. If not, or if a fault is possible, the question goes to the office with the installation details, and the customer hears when someone will be in touch.
On your own information, with a person behind it.
The sources come from what you already have: maintenance explanations on the website, filter and pump manuals and the answers office staff now give by phone. They are bundled and approved by a specialist. Handed-over questions land in the inbox or service system the office uses. Manuals remain the manufacturer's; the company decides which explanations the assistant may draw on.
General guidance or per installation
General guidance on filter cleaning is quick to set up but is not right for every system. Guidance per installation needs the assistant to know which filter the customer has. That works if the customer logs in or gives an installation number. Many companies start with guidance per filter type and ask the customer which one they have.
Interpret water readings or not
Customers sometimes test their water and want to know what the readings mean. The assistant can explain what a reading generally indicates if that is in the sources. Advice on treatments or interventions for fish does not belong with an assistant but with a specialist who knows the situation.
Text only or video as well
A short video of flushing a drum filter explains more than a paragraph of text. If you have such videos, the assistant can point to them alongside its answer. Making them is extra work, but it means fewer calls about the same task every spring and autumn.

Your approved guidance on filter cleaning, seasonal care and UV lamps per filter type forms the basis of the assistant at the start. Faults and fish health questions go straight to the office. Together we test an ordinary question about green water and a customer reporting that the water level has dropped sharply in a few days. Guidance per installation for logged-in customers and new answers drawn from frequently handed-over questions can be switched on whenever you like.

Explore pricing and optionsCan the assistant tell me whether my fish are ill?
No. A judgement on fish health needs someone who sees the pond, the water readings and the fish. The assistant recognises this kind of question and passes it on with the information the customer has already given. For urgent signs it advises calling straight away.
What if the customer does not know which filter they have?
The assistant asks about recognisable features or a photo of the rating plate and filter. If it cannot establish the model, it gives the general guidance with a note that it can differ per system, or it passes the question on.
How do we know which questions keep coming back?
Handed-over and answered questions are logged by topic. When a question recurs often, such as starting up a particular filter in spring, you see it in an overview and can improve the explanation or add a video.
Can the assistant book a maintenance visit?
The assistant can pass on a maintenance request with the customer's details and preferred period. The planner confirms the date. The assistant books nothing itself, but the customer does not have to explain everything again either.
