Design and creative production: Enquiry form for podcast studios

An enquiry form for podcast studios that asks for guest count, episode length and how material will be supplied, so the studio sees straight away which room and engineer a session needs.

What makes an enquiry complete for podcast studios.

At podcast studios an enquiry often starts with an email along the lines of: we want a podcast, what does it cost? The studio manager then has to ask how many guests are coming, whether anyone joins remotely, how long an episode will run and whether it is a one-off or a series. Those details arrive spread across four emails. Meanwhile a room is pencilled in that may be too small. It is also often unclear who has the final say: the marketing team paying for it or the host who has to approve the edit. That only comes out when the first listening copy is ready and two people send conflicting feedback.

From form to assessed enquiry.

Questions by recording type

The form opens with the recording type: solo, interview, table conversation or series. Only the questions relevant to that type follow, such as number of guests, remote guests, intended episode length and whether video is needed. Creators never fill in fields that have nothing to do with their session.

Record contacts and sign-off

The form asks who the client is, who presents and who signs off the edit. If those are different people, the enquiry shows it. The studio knows in advance who receives the listening copy and who has the last word on cuts or a removed segment.

Pass on a complete enquiry

Before the enquiry reaches the studio manager, the form checks that the answers are consistent: four guests and the small room do not go together. The enquiry arrives as a single overview of recording type, guests, length, editing needs and contacts, ready for a room and engineer to be proposed.

Enquiries in one place, not the inbox.

Most podcast studios currently receive enquiries through a generic contact form, email or a booking tool that only understands time slots. The new form sends the enquiry wherever the studio already works: the shared inbox, a list of open enquiries or the calendar. We agree which system leads for client details and where the recording details end up. The studio manager owns the questions on the form and can add or remove one without anything else changing.

Short form or detailed intake

A short form brings in more enquiries, but also more follow-up. A long intake puts off a creator who just wants to know if there is space. The middle way is a form that starts with two or three questions and only digs deeper when the recording type calls for it. A simple session stays quick and a series gets the attention it needs.

Single session or full series

A single episode is a one-off appointment. A series needs regular recording dates, a returning engineer and agreements about editing each episode. The form therefore asks early whether this is a series, so the studio can propose a fixed rhythm instead of scheduling each session on its own.

Letting guests register themselves

With interview podcasts, guests are often unknown when the enquiry comes in. The client can add them later, or each guest fills in a short form of their own with name, how to pronounce it and whether they will join remotely. That saves chasing, but it needs a clear agreement about who maintains the guest list.

Which questions the form asks.

Ready at the start: the form with questions per recording type, the contact roles and the check on room and number of guests. With you we walk through an ordinary interview enquiry and an exception: a series where guests are only confirmed later and one guest dials in from another location. The guest form and connecting the booking calendar, so a complete enquiry gets a provisional slot straight away, are switched on once enquiries come in properly.

What if a creator does not yet know how long an episode will be?

They pick a rough direction such as short, medium or long and indicate it is not settled. The studio sees that uncertainty in the enquiry and books more generously or discusses the format first. An exact length only matters when editing time is scheduled.

Can we add questions for video podcasts?

Yes. When a creator chooses video, questions appear about the number of camera angles, the preferred backdrop and whether short clips for social media are needed. Those questions are managed in the admin and switched on per recording type, so the form for audio podcasts does not get longer.

How do we see which enquiries are still missing information?

An enquiry that has been sent but lacks a contact role or guest list gets its own status. The studio manager sees in one list which enquiries are complete and which are waiting, with the missing question shown. Nobody has to dig back through email.

Will the enquiry also land in our booking tool?

That depends on what your tool accepts. If it can take a provisional booking, we pass the enquiry on with room and duration. If not, the enquiry arrives in the inbox or list you use today, with a button to confirm the slot by hand.
