Design and creative production: Quotation software for podcast studios
Quotation software for podcast studios that works out studio hours, engineer time and editing level per episode, so a proposal for a series shows exactly where the costs sit.
Where quotes for podcast studios get stuck.
A quote at podcast studios looks simple: a number of studio hours plus editing. In reality the price rests on assumptions nobody writes down. How long does a session really take when three guests keep interrupting each other? How much editing does an episode full of slips need compared with a tightly scripted solo? Does a second listening round still fall within the price? While those assumptions live only in the studio manager's head, arguments start around episode five, when editing keeps running over budget. Series cause trouble too: a seasonal discount is agreed without anyone saying what happens if the client stops halfway through.

Set assumptions per episode
The quote starts with its assumptions: recording type, expected episode length, number of guests, editing level and how many listening rounds the price covers. Each assumption is visible in the proposal, so the client knows what the calculation is based on and what changes if an episode turns out differently.
Calculate studio and editing time
From those assumptions the software works out studio hours including set-up and soundcheck, engineer time and expected editing time. For a series this is multiplied per episode, with any seasonal arrangement shown separately. The studio manager can adjust any line before the proposal goes out.
Record the proposal and acceptance
The proposal goes to the client as a single document with assumptions, calculation and what happens with extra listening rounds or a longer session. Acceptance is recorded with name and date, so it is clear later which version applies when an episode overruns or a guest cancels.
Alongside your calculations and price lists.
Podcast studios often price in a spreadsheet or straight in the accounting package, with an hourly rate and a separate editing line. The quotation software takes over those rates and keeps them in one place. An accepted proposal can be passed to the accounting package as a draft invoice or a project, depending on what the package accepts. The studio maintains its own rates and editing levels; client details stay in whichever system holds them today.
Price per episode or per hour
A price per episode is clear for the client, but the studio carries the risk when sessions overrun. Charging by the hour moves that risk to the client, who then has no fixed figure upfront. Many studios choose a fixed episode price with an agreed maximum recording length and an hourly rate beyond it. The quote makes that boundary explicit.
Season deal or episode by episode
A deal for a whole season gives the studio certainty about bookings and the client a lower price per episode. The risk lies in stopping midway. The quote records what happens then: is only what was produced invoiced, or does the discount fall away retroactively? That choice belongs in the proposal, not in a later email.
Listening rounds included or extra
Every extra listening round costs editing time. A studio can include one round and charge for the rest, or build a more generous number into the price. What works depends on the client: a company with an approval chain usually needs more rounds than an independent creator. The quote makes that choice visible per client.

The quote works with your rates per recording type, guest, duration and editing level, for single episodes and for series, and the client's approval is added online. Together we make an ordinary quote for an interview series and an exception: a client who wants to raise the editing level halfway through the season. Passing an accepted quote on to your accounting package and putting planned next to actual editing time per episode are switched on when you are ready.

Explore pricing and optionsCan we use different rates for different clients?
Yes. A client can have their own rate agreement, applied automatically to every new quote. Standard rates remain alongside it. The proposal does not show which rate differs, only the rate that applies to this client.
What happens when a session runs much longer than planned?
The quote includes a maximum recording length per episode and the rate beyond it. If a session overruns, the engineer logs the actual time and the difference reaches the studio manager as a suggestion. They decide whether to charge it, so a small overrun for a regular client is not added to the invoice automatically.
Can the client accept the quote online?
Yes. The client opens the proposal via a link, sees the assumptions and calculation, and accepts with name and date. If they want something changed they can leave a comment. The studio manager then issues a new version, and the old one is kept.
How do we price remote guests into a quote?
A remote guest needs extra preparation: a test call, a separate recording on their side and more editing to match the sound quality. In the quote this is a separate option per episode, so it is clear why an episode with a remote guest is priced differently.
