Design and creative production: AI enquiry assistant for podcast studios
An AI enquiry assistant for podcast studios that answers questions about supplying audio, file formats and session preparation from the studio's own information, and hands over when unsure.
Which questions podcast studios keep getting.
Podcast studios get the same questions again and again. What format should a jingle be if we supply it ourselves? Can a guest record from home, and what do they need? How do I send my own recording for you to edit? Do I need to sort out music myself? These questions arrive by chat, email and phone, often outside office hours or just before a session. The studio manager answers them between scheduling tasks, and sometimes an engineer gives a different answer from the website. A guest who turns up poorly prepared, or a file in the wrong format, costs time on the recording day that was never planned.

From question to answer or colleague.
Choose approved sources
The assistant only uses information the studio has signed off: delivery specifications, preparation tips for guests, and explanations of recording types and editing levels. Anything not in those sources it does not answer. The studio manager decides which documents count and can see when each source was last updated.
Recognise and scope the question
The assistant works out what a question is about: delivery, preparation, equipment or something else. If it concerns a specific session, a price or an exception, it recognises that this is outside its remit. Where needed it asks a follow-up to understand whether the question is about a file, a guest or a session.
Answer or hand over
When the sources cover a question, the assistant gives a short answer with a reference to the source. When in doubt, or when the question is about someone's own session, it passes it to the studio with what is already known. A member of staff picks it up and the visitor is told a person is looking at it.
On your own information, with a person behind it.
The assistant reads from existing sources: a page of delivery specifications, a preparation document for guests and the explanations on the website. No new knowledge base has to be written, but conflicting versions do need tidying up. Handed-over questions arrive in the inbox or list the studio already uses. The studio owns the sources and decides what the assistant may draw on; conversations are only kept as long as needed to deal with them.
On the website or in the portal
On the website the assistant handles general questions from creators who have not booked yet. In the customer portal it can answer questions about delivery for a scheduled session, but only with general information, not the arrangements with that client. Which place makes sense first depends on where most questions currently come in.
Answer only or collect details
An assistant that only answers is simple and predictable. One that also asks for name, session date and type of file when handing over saves the studio a follow-up. That does require clarity about what happens to those details. We start with answering and add collecting details once handed-over questions show it is needed.
Everything or one defined topic
An assistant that tries to talk about everything is more likely to get something wrong. One limited to delivery and preparation is narrower but more reliable. For podcast studios that is usually the best place to start: these are the questions that recur most, and a wrong answer there costs recording time directly.

We fill the assistant with your approved answers on delivering audio and preparing for a recording, and anything beyond that goes to someone at the studio. Before it goes live, we ask it ordinary questions about formats and an exception: a guest asking whether they can dial in by phone for a recording tomorrow. Collecting details on handed-over questions and a list of unanswered questions are switched on later.

Explore pricing and optionsDoes the assistant give prices or availability?
No. Prices and availability depend on the session and change often; those questions go straight to the studio. It can explain which recording types and editing levels exist, provided that information is in the approved sources.
What happens when the assistant does not know the answer?
It says so and passes the question to a member of staff, along with what the visitor has already said. The studio manager sees these questions in a list and can tell from them which information is missing from the sources.
Can we see what answers the assistant gives?
Yes. Conversations can be read back, with the source used for each answer. If an answer is wrong, the cause is usually the source; you correct it and the next answer is based on the update.
Can the assistant help guests with a home recording?
It can explain the preparation tips in your document, such as choosing a quiet room and wearing headphones. For a technical problem with a particular set-up it refers the guest to the engineer, because that differs case by case.
What often connects to this.
- Enquiry form for podcast studiosAn enquiry form for podcast studios that asks for guest count, episode length and how material will be supplied, so the studio sees straight away which room and engineer a session needs.
- Website for podcast studiosA website for podcast studios that describes recording packages, rooms and editing options clearly enough for a creator to see which package suits their format and guest line-up.
- Quotation software for podcast studiosQuotation software for podcast studios that works out studio hours, engineer time and editing level per episode, so a proposal for a series shows exactly where the costs sit.
