Outdoor spaces and grounds: Inventory software for playground builders
Inventory software for playground builders that tracks equipment parts, fixings and spares by manufacturer and equipment type, with reservations for installation, snags and maintenance.
Where stock drifts for playground builders.
At playground builders, stock consists of many small, specific parts: bolts and nuts of a given length and grade, caps, swing seats, chains, slide sections, nets and panels. Every manufacturer has its own article numbers. Equipment arrives in parts, and if an installation crew finds on site that a bag of fixings is missing, the job stops. Snags and maintenance need spares, but nobody knows whether the right seat for a particular model is on the shelf. After installation, leftover parts end up in a bin with no record of which equipment they belong to.

Record parts per equipment type
Each part gets a line with the manufacturer's article number, the equipment type it belongs to and its place in the warehouse. Fixings are counted by type and length. Each piece of equipment lists which parts and fixings come with a delivery, so a missing item stands out on arrival.
Reserve for installs and snags
For an installation the work planner reserves parts that do not come with the equipment, such as extra fixings or ground anchors. For a snag or maintenance visit they reserve the spare. Reserved stock no longer counts as free, so the last seat on the shelf is not promised twice.
Update usage and leftovers
After installation the crew reports what was used and what is left. Leftover parts go back with their equipment type. A part fitted to resolve a snag is linked to the play area, so the next report shows clearly what has already been replaced.
Alongside your purchasing and suppliers.
Stock is now tracked in a spreadsheet, the accounting package or with loose bins in the warehouse labelled by hand. Manufacturers send order confirmations and delivery notes. The inventory software tracks what is on hand, what is reserved and where it was fitted, using the manufacturer's article numbers. Purchasing still runs through the manufacturer; the buyer owns orders and the work planner owns reservations.
Keep spares or order them
Keeping popular parts such as seats and caps in stock allows quick repairs, which matters for a public play area. Rare parts you order only when a report comes in. An overview of which parts are replaced most often helps decide what belongs on the shelf, and it builds up naturally from the reports.
Shelve by manufacturer or by function
A warehouse organised by manufacturer suits purchasing; one organised by function, such as fixings, seats and nets, suits how a crew searches. The software can show both views, while each part keeps one fixed physical location in the warehouse. Searching works either way. Labels on the shelves carry both names.
Check deliveries on arrival or at install
Checking a delivery on arrival takes warehouse time, but stops the crew discovering a shortage on site. Checking only at installation is quicker, but risky in a tight holiday window. For large combinations, checking on arrival is usually the safe choice. A shortfall found in the warehouse still leaves days to reorder.

Stock starts with parts per equipment type with article numbers, reservations for installation, snags and maintenance, and updating usage and leftovers. We try it out together with an ordinary installation of single pieces and with a week where a bag of ground anchors turns out to be missing when a large combination arrives. Minimum stock for popular parts and ordering from manufacturers straight from stock can be switched on once the count is right.

Explore pricing and optionsCan we see which parts were fitted at which play area?
Yes, once a replaced or fitted part is linked to a play area. On the next report, the office sees what was replaced before and when. That also helps spot equipment where the same part keeps failing.
How do we deal with different article numbers per manufacturer?
Each part keeps the manufacturer's article number, alongside a description the crew recognises. You can search on either. The buyer orders with the correct number, while the crew searches for what they see, such as a seat with chain.
What do we do with leftover fixings?
Leftover bolts and nuts go back into stock under the right type and length. Parts specific to an equipment type are tagged with that type. They do not disappear into a mixed bin where nobody can find them.
Can an installation crew take parts from stock themselves?
A crew can take parts and record it on the job card, after which stock is updated. For expensive or scarce parts you can require a reservation. Visibility stays intact without the crew having to wait for approval.
