Outdoor spaces and grounds: Digital job cards for playground builders
Digital job cards for playground builders with a placement plan showing equipment, clearance zones and dimensioned foundations, where the installation crew records what was actually built.
What a job card for playground builders should hold.
An installation crew from playground builders sets out equipment on a site from a paper drawing. Whether the swing's clearance zone touches a fence post, whether the climbing frame's foundation was poured to the right depth and which bolts were used is rarely recorded. If the inspector finds a deviation, the crew has to go back, and nobody can see what lies under the surfacing anymore. Small changes on site, such as a piece moved half a metre for a tree root, are written down nowhere. Later inspections lack a reliable picture of what was built.

Prepare the placement plan
Each project has the placement plan on its job card: equipment with distances to fixed points, the clearance zones, the surface type per zone and the foundations per piece with depth and type. The manufacturer's installation manuals open per piece. The crew always sees the latest version of the plan.
Record setting out and installation
While setting out, the crew checks that clearance zones stay free of obstacles and marks deviations on the plan. Before a foundation is covered, a photo with a tape measure is taken. After installation, tightening torques and fixings used are recorded per piece, so it is clear later how the piece was built.
Hand over with a checklist
Before handover the crew runs a checklist per piece: all caps in place, no protruding bolts, surfacing at the right depth and level, clearance zone clear. Open items are logged straight away as snags. The work planner sees what is finished and what remains before the inspector arrives.
No more paper and loose photos.
Installation crews now work from paper drawings, installation manuals in a folder in the van and photos on their phones. The job card shows the plan from the drawing program and the manufacturer's manuals on the crew's phone or tablet. Hours go to the timesheet records, snags to the handover and recorded data to the project file. The designer owns the plan; the crew owns the record of what was built.
Set out by tape or by instrument
On small sites a crew sets out with a tape and pegs from fixed points. On large public sites a surveying instrument is more accurate and faster. The job card supports both: distances to fixed points for tape work, coordinates for crews using instruments. The crew picks whatever suits the site.
Record everything or only what disappears
Foundations and anchoring vanish underground and cannot be checked later, so those are always recorded with photo and measurement. What stays visible, like a slide, the inspector can see for themselves. Recording stays limited to what will genuinely be needed later. The crew is not asked to photograph every bolt.
Fix snags now or pass them on
A missing cap the crew fixes on the spot if there is one in the van. A part the manufacturer still has to deliver becomes a snag with a follow-up appointment. The crew leader decides per item, and the work planner sees which items are open before the inspection is booked.

What the crew sees on the job card at the start: the placement plan with dimensions, zones and foundations, recording during setting out and installation, and a handover checklist. We walk through an ordinary installation of single pieces on a school playground together, and an install where a tree root shifts a piece and the clearance zone has to be rechecked. Attaching snags to the handover and letting the job card flow on to the invoice can be switched on later.

Explore pricing and optionsCan the inspector see the recorded data?
If the client wishes, an overview with photos of foundations, measurements and fixings used can be shared with the inspector. That does not replace the inspection, but helps with questions about parts that are no longer visible.
Does the job card work without signal on site?
Yes. The plan and manuals are loaded beforehand, and photos and entries are stored until there is a connection. The crew can work on a remote park or in a courtyard between tall buildings just the same.
How do we record a piece being moved?
The crew leader moves the piece on the plan and notes the reason, such as a root or a cable. The software checks whether the clearance zone still stays clear of obstacles and other zones. The designer sees the change and can approve it.
Does the crew see prices or quote terms?
The crew sees what has to be installed and which assumptions apply, such as reusing existing surfacing, without amounts. The crew leader records extra work arrangements, but the work planner sets the price. Pricing stays in the office.
